Beach house wedding

Patricia, on October 5, 2021 at 4:25 PM Posted in Planning 0 7

So we rent a beach house every year- my entire family stays annual vacay...we've decide to have our wedding at this time- heck half the people are already there. Question we want to use the rental as the reception spot have the ceremony at the beginning of our stay- (check in Saturday) ceremony Sunday so then family can enjoy rental rest of week. This is our second marriage - we are looking at 100 people. House sleeps 47- but only my family is staying there...is this possible? I would get a wedding coordinator- arrange beach ceremony then have caterer music lighting tables flowers etc at the beach house rental? Can I do this? Thoughts or advice? TIA!

You need to ask the owner. Event rentals is usually very different from regular vacation rental. They’ll likely need to purchase some kind of extra insurance and alert any neighboring properties to how many extra people will be there. You’ll also need to follow any local ordinances for fire codes, noise, and parking.

Yes- good advice- I may have my wedding coordinator work with them as I will probably have to give additional deposit etc too now that I think about it--but do you think it is possible?

I think this sounds super fun, but you could run into some roadblocks. Is the owner ok with this? There’s liability issues for you and them. Also, I know you said you would hire a coordinator, but this will be a TON of work. My minimony was 7 people and we did it at a vacation rental. It was a ton of work. Just had my larger reception (still only 63 people) at an all-inclusive venue and I cannot imagine doing it at a vacation rental. You will literally have to bring in every single thing on top of normal stress from hosting a large event. I would rethink the guest list or, if you can’t, the location.

I think for 100 people it will be reallllly hard to have a reception there. You’ll probably need to rent chairs, plates, cutlery etc for dinner and the reception and is the house big enough to hold twice the amount of guests?
Also, how will people park there?
Are there enough bathrooms? I’d guess if it sleeps 47 there’s a good amount of bathroom so should be ok, but if there’s only a couple of bathrooms you’ll need to rent additional ones.

I have been planning my wedding for Nov 2021 since Feb for 55 guests at a rental villa in Cancun! Though our ceremony will be at a chapel, and only the reception will be held at the villa. Make sure to ask the owner for permission before starting any plans, there may be an extra fee or not allowed at all. There may also be noise regulations in place in the area which you will need to know in order to plan around that. Make sure that you take into consideration setup/take down at the end of the night for everything. A coordinator should be able to help you with a timeline for the day of to run smoothly as well as a good use of the space for the ceremony/reception and/or coctail hour to transition. For the other half of the guests- check parking on site or figure out how they will get there (we are doing a shuttle to get guests from their hotels to chapel, chapel to villa for reception, and then at the end of the night since we will have an open bar). If you are planning on an outdoor reception, make sure that there is sufficient power source for everything in the outdoor space, or may need to consider an external power supply. Restrooms! Make sure there are enough easily accessible restrooms (not in bedrooms, etc) for guest count. I think those are the main concerns that I had to start off with! Best of luck!
