Bringing in your own alcohol/bartender

Marlene, on October 14, 2011 at 4:27 PM Posted in Do It Yourself 0 7

Does anyone have any ballpark figures/recommendations on bringing the alcohol to the event instead of going through a caterer? Was hoping to supply enough alcohol for 80 people. That would include three bottles of wine per table (like 10 tables of 8), champagne for a toast, and cocktail ingredients (bottles of whiskey, gin, rum, vodka) for a bartender I would be hiring. I'd be buying in New York or New Jersey.

You are figuring on too much wine. Trust me.

It depends- are you looking to do top shelf and $20 bottles of wine/champagne or middle shelf?

I bought my wine at Trader Joes for $3 a bottle (love the 3 buck chuck) but usually you can figure $8 for white wine and $12 for red if you are going cheap but not too cheap.

I spent $770 for wine, beer, rum punch, sparkling wine and a bartender, but I am in MN, was figuring on 200 people and had way too much.

We are doing a sangria punch bowl ($100) and beer($200) for 100 people, most people will like 1 of the two! I did look into a bartender and it was out of this world!

The bartender you hire should be able to help you with that. We're providing our own beer/wine (no liquor), and we have to use the venue's bartender (I'm in Texas, btw). She sent me a "shopping list" of how much beer, red vs. white wine to buy.

I agree that your #'s for wine are likely too high, especially if you'll also have liquor and champagne. What I used to do for events (I used to plan conventions at a huge hotel) is figure 1.5 glasses/wine per person for a dinner - not everyone will drink wine anyway. You can usually get 4-5 glasses per bottle. Or - at most do 2 bottles per table - 1 red, 1 white. Have a few extras on the side just in case, but you shouldn't need 3 per table.

I would assume 4 to 5 drinks a person, lol... not wine tho. IDK many wine drinkers but we're still doing several bottles...and PUMPKIN, here in NC its 2 buck chuck... uhoh, unless they changed it, lol

IDK- it's $3 here. Still awesome wine for the price!

I better think so, I have about 30 bottles of it to drink!

    Hi Marlene,

The headcount does matter but what also matters in the breakdown of light, normal and heavy drinkers. One of the easiest calculators to use online is http://perfect-party-planning.net/drinks_calculator.html.

If you want some more input about wines, beer, etc. please feel free to email me at ******@**************.***.
