Confirming RSVP Guest Acceptance

Sharlean, on September 28, 2010 at 9:29 AM Posted in Community Conversations 1 17

I wanted to share with everyone the email I sent to all my guests that accepted "Yes" to attending our wedding. I haven't heard of any brides doing this but I wanted to ensure I had the most accurate head count possible.

After sending out the email I already had two couples who changed their RSVP to declined. That's four people which makes a huge difference especially at $60 a plate. Any money saved when planning a wedding helps no matter the amount.

Cont. Here is the email I sent.

We have received your RSVP to attend our wedding on Friday 10/15/10 at 5pm. :-)

We're about to turn in official head count to the venue and wanted to check with you one last time.

If your RSVP status has not changed, no further action is necessary.

If your status has changed, please email me by Thursday 9/30.

Information and reminders about the venue and reception:

Due to limited space in the reception hall, this is an adults only celebration (game on!)

The grounds are strictly no smoking.

There is another wedding elsewhere on the grounds that night, but we're told there is plenty of parking.

Our reception has a full open bar (top shelf!)

However, the road leaving the venue is very winding, dark and lacking guard rails.

Please consider your safe departure from the reception.

We look forward to a fantastic time celebrating with everyone!!

    Thank You!,

No problem. Also this was a way to add information about the venue and stressing some points.

I think that's a great email and I LOVE LOVE LOVE that you added the part about making sure they planned for getting home.

I think it's great! You may want to consider providing a number for a cab company too, just in case.

Love it! Copied and pasted into my files =^)

We are providing a shuttle to a nearby hotel so I guess I'll include that info in there like the other ladies are suggesting

    Looks good.

Does your venue close the bar early at all? it might be a good idea for them to close the bar 1/2 before the reception ends. still wont solve any big problems, but at least you would know that no one will be getting in their car having just grabbed a new drink

    Hi Date Twin! Best wishes!

This is a great idea, and I'm borrowing it if you don't mind for my "less reliable" guests - the ones who RSVP yes, but forget all about it...we have many on FS's side, sadly...And I like the part you mention about getting home safely...I also like bluedaisy's idea above about finding out if the venue will close the bar 1/2 hour earlier than reception ends - that's definitely thinking ahead!

That is an excellent idea!! I only wish all our guests had an email address so we could take advantage of it.

Hi, Father of the Bride here, and just found this 14 years later. Will be using something similar to get final confirmation on the guest count. Our coordinator has advised that "no shows" and "day of" cancellations are common. Hopefully we'll minimize those. Thanks for posting!
