Day-of-coordinator duties

Rose, on September 18, 2019 at 12:25 PM Posted in Wedding Ceremony 0 10
Hi everyone! I'm deciding on whether or not to hire a DOC for my microwedding. What exactly do they do and help with? Also, our wedding venue has speakers that can be hooked up with our phone but will the coordinator start the music for us? We don't have anyone reliable to do it and I'd hate to pay a DJ or something.

I think you could have them do it if you ask and they're ok with it. I hired one purely to be point of contact for vendors and to set up the reception

Mine was AWESOME. She charged $1,000 and was more like a month of coordinator than a day of coordinator. She came to the venue walk through with us & the caterer, she made a day of schedule, confirmed everything with our vendors prior, set up all our decor the day of, cleaned up everything, got all our gifts & cards to us the next day!

This sounds very similar to our DOC. We are paying her $1300, but she also brings two assistants. She also has a studio full of decor that we can borrow for free.

That's awesome! Our DOC brought 1 assistant, but no decor. She did let me drop all my decor off with her 2 days before though and she brought it to the venue.

I am meeting with a day of coordinator in like 2 weeks. She is also a "month of coordinator" and charging 1000. This is her list of basics provided All Day of Services packages are customized for our clients to meet their needs. Services may include:

    • Initial consultation with the couple to gather information

    • Visit and meet with representatives of ceremony and reception venues 1 month before the date of the wedding

    • Confirmation with all vendors, to review contracts and expectations at least 2 weeks before the wedding

    • Create the wedding timeline for distribution

    • Ensuring that all vendors receive the wedding timeline at least 1 week before the event and provide copies again the day of the wedding.

    • Attendance and participation at the wedding rehearsal (Organize processional with venue director and distribute timeline to the bridal party)

    • Attendance, overseeing and directing the ceremony and reception (all day until the end) includes ensuring adherence to the timeline by all parties involved

    • Assist Bride, Groom and Bridal Party.

    • Ensuring that all materials are take to the venue and set up

    • Bridal Emergency Kit will be available

    • Distribute final payments to vendors

    • At least one assistant will attend with wedding coordinator

    • Be prepared to meet any emergency that may arise.

    • Unlimited consultations, email and phone with bride beginning one month before the wedding.

    • Final meeting with client two or three weeks before event

I am choosing to use one bc it is a completely diy venue and I'm not hiring florist or anything. I'll meet with her in a couple weeks to see what all she will and won't do, but I want her to be the point person incase guests have trouble finding the venue or anything. Also I hope she will great our guests before ceremony to let them know they are in the correct place.

If you can afford one get one. Our venue came with one and it was great. They told us when to be where and made sure everything was flowing as it should be so we literally had nothing to worry about. She made everything so seamless and smooth and it was great not having to worry about watching a clock to make sure we were on time for everything.

The DOC will coordinate with all your vendors, be sure they know where to park, how to set everything up at the venue, etc. DOC will do full set up, breakdown, and be sure the couple gets back their personal belongings before the end of the night (packed away in the car)! In addition, they oversee and manage the timeline of events for the day, making sure everything runs smoothly and no stress is on you! I would HIGHLY recommend if it’s in your budget.

I was just asking this question last week and met with and hired with a DOC. She told me that’s she is mine for the day and anything I need that day her and her assistant will do it from coordinating vendors, decorating, and bussing tables if needed. I would reach out to a few and just explain what you are looking for. Most have several different packages.

Our day of coordinator was incredible. We paid her $850 for 10 hours onsite. She even coordinated the rehearsal the night before.

She finished set-up, lit the candles all around the venue, made sure EVERY vendor showed up on time, made sure all of the decor was in place, made sure our plates of food were already on our table when we sat down so we could eat fast, she got everyone lined up for the ceremony and reception, she kept my glass full all night (of water or wine whatever I wanted), she kept the cookie table stocked and brought out more cookies as they were eaten, she reminde dother vendors to take a break to eat, she kept the DJ on schedule with everything, she took all of our gifts to the car, she also helped clean up at the end of the night and made sure everything was put in its place.

Not to mention all of the things she did before the wedding like create our timeline which made our day so smooth, she suggested rentals and things we wouldnt have thought of, etc. She was worth her weight in gold.
