Day of Coordinator Wants All Vendor Contracts

Mia, on April 8, 2019 at 9:28 AM Posted in Planning 0 11

My day of coordinator (used to have a full service planner-long story) asked us to send her all of our contracts. My FH doesn't want to send her anything that includes costs because she didn't recruit or help with the vendors. He believes she only needs a listing of the tasks we have paid for and not the costs associated with the tasks. Two questions: Did you send your day of coordinator your contracts and if so, did you redact any of the information in the contracts?

I wouldn't feel comfortable sending contracts to a day of coordinator. I agree with FH, all they need is a list of what needs to be completed.

Our DOC did not ask for ours. However, we only hired her for minimal work: run the show on the actual day. Nothing else: no month of, no decorating, etc. Maybe your DOC wants the contracts so she has an understanding of what is agreed upon, what would breech the contract, and what your vendors are expected to uphold. So if one of them doesn't deliver a service to which they promised, she will have knowledge of what was promised.

Our DOC hasn’t asked for our contracts, but I don’t think I’d really mind if she did. If you’re uncomfortable, couldn’t you just ask her what she needs them for?

Send them! Send a copy- not the original. I was just talking to someone about this. You need to have all your contacts on site that day. A friend had an issue with her DJ not wanting to play cocktail hour- said she didn't paid for it. Her DOC grabbed the contract and read him line for line that she paid for. Otherwise, the DOC has to track you or whoever you have keep the contracts that day and pull them from the wedding. Another friend had an issue with a caterer- they ran out of food in 20 minutes and refused to make more. Her mom had to leave, go home and get the contract and bring it back.

I'm not sure why it matters if she knows what you paid each vendors? I assume she wants to see them to know contact information & what the contract specified they would do. You could always white out prices & sensitive information I guess.

I also don't see the logic behind the DOC not seeing what you've spent on certain vendors. I'm sure that's not even what she wants to contracts to look at. I would assume that its so she can make sure everything is done that is specified and if there is an issue she can verify it without bothering you. I know money sometimes weirds people out so I agree with a PP - just black out/white out the money parts if that is the issue. Contracts are usually pretty standard - not much personal info on there other than names/address and prices. I had to sign a contract with my DOC herself which included all that stuff anyway so I'm not really seeing the issue. Sometimes you have to realize that this person does this for a living (most likely) and usually asks for something like that for a reason. Just discuss it with her and see exactly why she needs it and go from there. I haven't sent mine to my DOC - she hasn't asked yet but she might. I will just forward all the e-mails and everything. Whatever information is going to help her make my day go smoother.

My thoughts exactly. Our DOC didn't ask for the contracts for the vendors - but if she did, I would definitely send them to her.

That's great advice for those who don't have DOCs- you never know who is going to cause problems.

Our DOC asked us to forward her any contracts we sign. In one case she said she's going to try to get us a discount on one of our vendors because it's someone she works with a lot (that we hired before we hired her). You never know what they might be able to do for you, so I wouldn't have an issue with it.

I would hand them over. This person is going to be keeping your day going smoothly and it is in your best interest that she knows exactly what each vendor has promised to do in the contact.

We have a concern with one of our vendors and our DOC said she wouldn't mind helping us with that. She did say that she needed to see the contract so she had all of the important details available when she talks to them. I already have a contract with our DOC including her fee, so I would not worry about any pricing that is in any other contract.
