Didn't Send Hotel Info w/ Stds -- What Should We Do?

Danni, on March 5, 2021 at 12:35 PM Posted in Planning 0 10

Hi everyone!

So we sent out our Save the Dates at the end of December, a little early for our October 2021 wedding but we got 50% off and really couldn't pass up on the deal. At the time, we didn't include any hotel information as the hotels we have blocks at were not open for booking yet, and we hadn't set up our wedding site so it wasn't included on the STD either.

At this point, I'm thinking that waiting to share that information with the official invites might be too late. Would it make sense to send out a little note now to people acknowledging we forget to share that info and provide it? Or can it wait until invites go out? The hotels we blocked with didn't give us a ton of blocks as they're trying to fill them out to make up rev lost in 2020, so I just am worried about people missing out on hotel rooms.

Not sure what others have done in the past.

TYIA!

Do you have a wedding website, and is it listed on your STDs? Most people just put that info on their website, or they have it on a details card included with the invites! I think including it with the invites gives them enough time to look at the hotel and book a room if needed!

We're planning on just sending the hotel info out with our invitations with a link to our website. We have the preferred hotel which we will have rooms blocked off at listed, but we have other options for those that don't want to stay there. We're doing this because our hotel doesn't charge us for any rooms that don't get booked, so if the one we prefer is booked up, or isn't within everyone's price range, then there are other options!

Are all your guests going to need a hotel?
I’d probably just reach out to guests personally and say that the hotel info is on your website and give the website link. A mass email would work for this

I agree with Shelly! Include the information on your website (if you have one) and then include a link to the website on an insert with your invitations. And word of mouth is also a great way to ensure that those you know absolutely need a hotel room can book one. Most people don't have hotel blocks in place when save the dates go out so you have nothing to worry about there!

Oh great idea! That is much easier!!

It's split where probably 1/3 of guests are out of state, and then rest of in state but figure some people will want a hotel so they can enjoy the open bar.

Okay phew! I got nervous as my future MIL got a call from her sisters asking for the info as they want to book now. So I was worried we messed up by not sharing that info on the STDs.

Hotel information isn't typically included on a Save the Date, so you didn't really overlook anything there. It is more traditionally provided with the invitation. However, once we got our block from the hotel, I just emailed the special link to everyone I knew would need a hotel room and most of them have already booked. We will still include all that info with our invitations so the remaining people know the deadline.

You can just send hotel block info with invites, that’s what we’re doing. It’s definitely not too late, depending on the hotel, they’ll hold the block up until a few days until the wedding.

If you have a wedding website include it on there! When I was originally going to have my wedding in Vegas I added a section to my website about hotels and what was closest to the venue. That information isn't traditionally included with the STD, but if everyone needs a hotel and you are really worried about it and don't have a wedding website then I don't see the harm in sending out something to make sure everyone is able to book. Better safe than sorry I always say.

I would do a mass email that includes a link to your wedding website with the hotel block info, to be sent to your out of town guests. I agree that not sending the hotel block info until the invitations go out might be too late. 90% of my out of town guests had booked their hotel rooms before our invitations were mailed out.

Do you happen to have a wedding website? If not you can definitely utilize it for your guests to keep referring back to. If guests do ask about it, I suggest you save a template in your notes on your phone so you can just copy and paste it when you send them the info (along with the website). Saves time from typing it up constantly.
