Double Booked Blues!

LizziiD, on September 16, 2015 at 8:51 PM Posted in Planning 0 12

SO! I booked my venue about 2 months ago and then about a month ago booked my wedding photographer and DJ. Today, I received an email from my venue that there had been a mistake and their chef booked an event on the same day and did not inform the only event manager at the venue so days later I also booked the same day. I am freaking out because now I have to try and coordinate another day with our photographer, DJ and venue due to the lack of communication with the venue. In the email the event manager said several times that this has NEVER happened and was apologizing over and over. She offered to not charge us any room rental or ceremony fees but I feel like we should get something more than just that. Has anyone else run into this problem? Did it end up working out? What were you able to negotiate?

I would work the day out with them and hopefully your dj and photographer are flexible. A year out they usually have a little more wiggle room than a venue. Sorry this happened to you.

I don't see how any venue ever does this. I have seen a few stories on here and I just don't see how that's possible, it must be very frustrating. Considering my room rental and ceremony fees equal almost $3,000, I would be very happy with that.

I would see what date I could switch to first and whether the other vendors were open that date. If so, I would be willing to accept what they are offering. If not? I would negotiate harder if you're going to have to switch photographers or something like that.

First of all, that is awful. I'm so sorry! In terms of what I'd do, I guess it depends on how much of a credit that comes to. The "rental" fee for my outdoor venue is higher than any other single wedding expense, so I would definitely take that. But I would be pissed, and also nervous about how they'd handle everything moving forward, and on the day of, especially!

Oh no!!! A week after booking my venue the coordinator called and asked if we'd be willing to move our date as another client was hoping to book the venue for a 2 week stretch for a conference. I was able to negotiate them paying for our entire bar package and rental fees (over 15,000 dollars in savings).

I'd try to squeeze a bit more out of the deal?

    Good luck!

The credit comes to about $1,200. I love the venue but I also love my photographer and love my DJ! My FH is most excited about the DJ and we both will be devestated if we can't make it work with all three! I should hear back from the photographer tomorrow and be able to kinda go from there. This is my first issue I have had thus far with planning but it's a pretty big problem and I just don't think a $1,200 savings is enough. AND what is the chef doing booking events without the event manager knowing about it??? I've never had a bad feeling about the venue or the event manager so I'm not too concerned about the day of... but those could be my famous last words!

I think that's a fair offer considering you haven't incurred any other costs that are affected by their mistake - if you were losing deposits over this, that's one thing, but from what it sounds, you're just waiting to confirm with other vendors for the new date? What more would you want?

That's a very fair offer. Do a Doodle Survey (google that) and see what dates the three have available.

Rebecca and Monique - I think I'm just getting worked up and thinking the worse. If I end up having to cancel the photographer or DJ and loose the deposits then I don't think that should be a cost I should gave to eat. Just have to think positive thoughts and not jump the gun... yet Smiley smile

That offer is very fair, but I wonder why it took two months to figure out that they were double booked. They need to get their act together.
