Event Staff, Tables, and Chairs...oh my

Hi everyone!


I'm in between two venues - one would be a library and community place which is gorgeous and wouldn't need a lot of decorations, but I would need to bring everything from wait staff to chairs and table. Does anyone have recommendations for where to start looking?

This would be in south Florida.

On that note, can I rent fans to make the evening a little cooler? We're thinking a summer wedding (because its off season here), but I am concerned at how hot it will get.

Appreciate any and all insights!

    Would love to have a wedding in a library and community centre. I love books and reading so it would be great! But, you would have to ring a rental hire company to see how much it would cost for all the extras though which could add up. What is the other venue choice? Smiley smile

    Wow, for some reason, I completely spaced on rental hire companies! I'm gonna start pricing things out later today, thanks for that!

    Our other venue is a more inclusive option at a resort which seems really promising, but I am trying not to put all my eggs in one basket, lol

    Event rental companies have almost everything you would need. I rented most things for my wedding (blank slate/nothing included venue) but bought my glassware from the dollar store. Keep in mind that sometimes your caterer will provide the serving equipment, etc.



    Also, you may be able to borrow equipment or decorations. My aunt's church lends out table cloths for weddings and other events to members of their congregation. My mom works closely with a resort/hotel and asked if she could borrow 5 chaffing dishes for my wedding. They have a whole closet of spares so they said yes. You never know what people will say unless you ask.

    Buying glassware from the dollar store is brilliant, so thank you for that idea! You're absolutely right as far as asking around, that's the kind of 'phase' I'm in now.

    Our reception venue has their own catering, bar staff, tables, chairs, and plates, glasses, silverware, etc. The venue seemed like it was super pricey when we first inquired, but when I did the math, it's actually way cheaper than having to hire individual vendors. Plus not having to coordinate multiple people/ companies on the day of helps as well since everyone works there and knows what to do and where to be. Might be worth looking into, but the library does sound like a really cool idea too!

    Look into a full service caterer— that’s what I did, and it was a lifesaver. They brought and coordinated EVERYTHING (tables, linens, dishes) and I didn’t have to worry about any of it.


    I did end up pricing out chairs and realized I could save a ton by getting them from my tent company, so I did do that, but otherwise didn’t bother going down the comparison shop rabbit hole — I don’t recommend getting too bogged down in that. It’s likely worth a little premium to keep everything in one place. (I know there were some caterers that basically wouldn’t touch anything not rented through them— so if you got glassware from somewhere else or something, they wouldn’t have cleaned it up, or wouldn’t set up another company’s chairs). Plus everyone has delivery fees, so even if you might be able to save $250 on chairs from one vendor, you might lose it back once you factor in delivery, and then keeping track of everything is all on you! I only went elsewhere for chairs bc it was a second company I was already dealing with.
    I did rent 2 industrial fans from my tent company just in case. We didn’t really end up using them as our weather was mild, and they did make some noise, but I was glad to have them for piece of mind!

    I never thought about that, but I will not! You're right that the piece of mind alone is probably worth the extra upcharge.

    Most wedding caterers will offer linens, tables, chairs, wait staff, wedding planning, fans, etc

    You're welcome Smiley smile A resort would be good if you had people that need accommodation as well because they can stay at the resort if they'd like to. Is the library space very expensive? You might find after hiring everything that it's cheaper or comparable at the resort Smiley smile. A library does sound different and cool Smiley smile.

    Start looking on this app with in your area they can put you towards some rental stores but to know it may be pricey$$$. Ask for quotes first and then you can choose the best ones within your budget

    Your venue sounds really awesome! I would look around for event rental companies who can provide everything for you.

    I just want to thank everyone for all the ideas! I feel less way crazy about doing this from scratch knowing about all the services and tips to ask for.
