Fall 2022 Wedding, Unable to Book Ceremony & Reception Venue

Hi all, I am the mother of the bride. My daughter and her fiancé have been engaged for 2 months+. They are looking at September 2022 for their wedding & reception. We live in a smaller town and have a huge family (both bride & groom) which leaves us with very few places locally to host the reception. If we invite family & close friends only, we are looking at a minimum of 225-250 guests. The happy couple has settled on a ceremony venue which can accommodate a large outdoor wedding in a gorgeous space! They also recently decided on a reception venue that is a 2 minute car ride from the ceremony. Here is the problem, the ceremony site and the reception venue will not take a deposit or contract until at least January 2021 (for the venue) and March 2021 (for the ceremony). As more couples become engaged & more delay (due to Covid) there will be a whole lot of couples wanting to book venues, especially these two venues because they are able to handle 200+ people. *Note, the ceremony venue has her penciled in for a Saturday in September 2022, but won’t accept anything until 18 months prior which is March 2021. * Has anyone ever heard of this before? Any other thoughts? Advice? My daughter is discouraged and worried but she realizes she has time. Note 2**The reception venue will not even meet with her until January. She & her fiance have been to weddings in the reception venue & they really like it & the price is reasonable.**

    That's pretty common. Have backup venues you want if the first isn't available. Take a look at Eventective.com

    Super common especially if the reception venue is doing the catering. Most places change pricing annually so they don’t want to book anything too far out because they don’t know what pricing will look like in two years.


    We booked our venue in December 2018 and our wedding was February 2020. Because our wedding was in early 2020, they were okay with honoring the 2019 prices for us. However, if we wanted anything later that year, they wouldn’t have been able to book anything until the 2020 pricing was published.

    I would think this is the norm. I recommend to have backup plans.

    I think this is common. If they already have her penciled in, I would hope that they would give her priority on booking that date, but that's also not a guarantee. Still come up with a backup plan, but set a meeting with the venues for the first days that they're willing book for her date in 2022 and officially reserve it at that time.

    There is no need for everyone to book so far in advance, then pull out in the last year, so venues are booked solid 2 years out, and have 5-10 slots a month open at 6 months. When people book very far out, as few as 60 percent are still on the books at 8 months. The closer you get, booking at 12-14 months out for different places, the more likely it is those people will still come on wedding day. Too many people book 2 places for different dates, way out, and pull 1 or both when they break up, find fewer guests are coming and downsize, run out of money and downsize. We had a 5 month engagement, and about half the people I know planned the whole wedding in 2-8 months. So many previously booked places have opened up, there is plenty of selection.
    As of a few years ago, more and more places have started closing booking until 12, 14, 15 months out for big parties. And no more than 3-6 months for other parties. Stop wasting their time with people who do not have a good rate of follow through.

    Not sure where you're located, but none of the venues in my area do this. We're getting married Jan. 2022 and booked our venue and two of our vendors 2 months ago. There was no hesitation whatsoever on their part, they were actually glad that we wanted to get everything done early! The venue owner told us it was a good idea we decided to book her in 2020 because she was bumping her prices up for our wedding year, so we got lucky!

    Definitely have back up plans in case the venues they have picked out fall through! Just because they have the couple penciled in for a certain date, does not guarantee their wedding date will be saved! Better to have a plan B, C, etc. than no backup plans at all! 🙂

    I think that's normal and I don't think you'll have a problem with booking anything January is right around the corner and so is March

    A lot of times you cannot actually book something too far in advance because accepting a deposit too early really messes with the bookkeeping. Also changes in laws, insurance, etc can require contracts to change from time to time, so businesses won't accept a deposit and sign a contract too far in advance of a date because they have been advised not to by their lawyers. And many businesses readjust their pricing annually to adjust for inflation and other factors, so they won't book too far out as they cannot accurately predict what the true cost of service will be years in advance.

    Penciling someone in is a way for the venue to hold the spot without accepting a monetary deposit or having signed a contract. If this is how the venue typically conducts business, then I wouldn't worry. I would however make a note of the date when you can actually "officially" book the venue and be sure to complete the deposit/contract as soon as you legally can do so - so if they January 1, 2021 is the soonest you can officially book, then I'd call them the minute they open on that day (or realistically Jan 2 since most places are closed for the New Year holiday).

    Well we don’t have another venue in the area that holds 225-250, as I mentioned we live in a smaller town. I think we will look at the guest list again and be prepared for a Plan B or C if we need it! Thanks!

    We did not have that at all. Mother of the bride here, btw. My daughter's venue has been booked with a deposit since about July of 2019 for a June 11, 2022 wedding. We are from a small area and my daughter only had a few venues she was interested in. Since June is a busy month and her options of venues are small, she chose early to get what she wanted.


    This was all pre COVID. Now, we are so glad we booked early. Her venue only has 12 dates open through the end of 2023 due to reschedules and new couples booking.
    Sadly, I suppose you can't change their policy. When they say penciled in, does that mean you will get first crack at that date?

    This is true and both venues do host weddings but it isn’t their main business. One is a botanical garden & the other is a conference center. The conference center also is used for testing for a local high school...so I understand they don’t want to book too far in advance. My daughter was kind of shocked because the date she requested is Labor Day weekend & we just don’t think they would need to keep the facility free for testing. But it could be more of a staffing issue. We will definitely have the checks & contracts lined up at the soonest possible date! Thanks!

    I truly didn’t think it would be a problem for my daughter to have a long engagement. Here in Ohio most venues & photographers are booked for wedding season 2021 ( May-October) I do think a lot of people are affected by Covid and can’t think that far out to 2022. Maybe we just need to relax a little bit!

    Yes, we will get first crack at the penciled in date with the wedding ceremony venue...not a guarantee. Only 12 dates open thru 2023? Wow!!! That is quite fortunate on your part that you guys were on the early end of planning!

    Well, my daughter is in college to be a corporate planner so, she certainly is a planner. I certainly hope all works out for you. Tell them to mark you in pen not pencil. Lol. Best of luck.

    I work at a college and we regularly book activities/outings for students (during non-COVID times when we can actually run off campus trips) and many of the companies we work with won’t book or accept deposits until the same calendar year. For example we take students paintballing every April and October and we can never officially book April until January 1. So this isn’t unique to just wedding venues - many businesses operate this way.

    Unfortunately, it's really common, when I first got engaged around June of 2019 and I told my venue that I wanted to get married in 2021, and not 2020, many told me that I would have to wait till early 2021 till they open bookings up and everything. However, I'll be honest when I say that you should take precautions for if a venue falls through.

    Actually pretty surprised by all the comments stating how common this is. Yes, I've heard of it before, but it always seemed so frustrating -- multiple couples having to wait until a particular date to try and all call to snag the slot before the next person? No thank you.

    (I'm in Ohio too, but the Cleveland area.)

    Around here, it seems much more common to take far-out reservations, and then if the couple needs to cancel, they are either out the deposit or are in charge of finding another couple to "sell" their date to so that neither party is out money.

    I booked our venue two years out with no issues, which put me at ease because we selected a very popular date. We also booked several of our other vendors 2 years out -- photography, DJ, officiant.

    As PPs mentioned, this is a thing though, so I'd hope for the best but definitely have a back-up option. Good luck!

    Just wanted to follow up & let you know that my daughter was able to book her ceremony & reception sites today...exactly 18 months before the wedding!! Yeah!! We stayed on top of all the paperwork & submitted down payments! She also booked her photographer tonite after a zoom call. She is feeling very relieved! Thanks for all of the comments...each one helped us to think about where each vendor might be coming from & how they book things!
