Feedback needed - deciding between venues for July celebration

Teresa, on January 26, 2022 at 12:29 PM Posted in Wedding Reception 0 7

After postponing our wedding for over 2 years (and losing almost all of our steam along the way), we've decided to go ahead and throw a party. The ceremony will be separate so we're focused on the celebration, since we've done almost nothing and it's less than 6 months away!

We have three venue options: a covered pavilion at a venue similar to an Elk's lodge (think Cruise Nights and clam bakes), an indoor venue (the Irish club that my FH basically grew up in and is dear to both of us), or our backyard. Here are the pros and cons we've come up with for each:

Pavilion pros:

-larger and outdoors, which is better for guests who don't feel comfortable packed into a smaller indoor space. We're still not convinced that we'll be free and clear of Covid, and people may still be feeling weird about larger indoor gatherings.

-inexpensive

Pavilion cons:

-we have less control over the bar (super important to me because I love classy cocktails) - they will order special items for us but it will get pricey

-no on-site catering staff, and we're hoping for BBQ - at least a few of the places we've contacted don't offer full catering services, only delivery/pickup

-MOSQUITOES: this is a big one for me. The venue uses an organic spray - it's in the middle of farmland - but won't spray right before events because apparently the smell is very strong

-the pavilion definitely has potential, but it's kind of uninspiring to me at the moment

Irish club pros:

-inexpensive (no rental fee!)

-comfortable, and we know the venue well

-A/C, no bugs, not weather-dependent

-more control: we can decorate, do whatever we want for catering, and get special items for the open bar

Irish club cons:

-small (max capacity is 209 and our current guest list is about 125), potentially cramped, less room for dance floor

-will need a reasonable amount of decorating to transform from a social hall (overhead lights, white walls, long tables, etc)

-no outdoors, though we might be able to set up a tent and round cocktail tables in the parking lot outside

-runs the risk of the same old club, since many of our family and friends have attended many events there

Finally, I would LOVE to host in our backyard, but not sure we can accommodate 125 people. Even with limiting to only family (which we don't want to do), we still have 75 guests. I'm aware that even though we wouldn't have to pay for the venue, everything else can add up quickly and could easily max out our $10k budget.

How have others decided on venues? Does any of this sound familiar to you? Sorry for the long post, but I'm hoping others have had similar questions and that the responses will help. Thanks!!

I choose my venue because it had the look and feel I was going for. They also had several bonuses, it included chairs and tables for 300 guests (we are estimating 100) and we dont have to clean up afterwards, we also get the space 9am Friday morning until 9am Sunday morning with unlimited access during that time slot (they literally give us a copy of the key). The fact that they are only charging me $2750 is a huge bonus too. At the end of the day you need to sit down with your FH and discuss what you both want and decide from there.

Thanks Nichole - both offer tables and chairs and we can get into the spaces early. I think it comes down to outdoor versus indoor for us, and what we think most of our guests will be comfortable with given circumstances.

Not sure where you are located but I will say weather can definitely play a huge factor in things. We live in Ohio and the weather here can be......all over the place. My one sister got married November 5th, which is usually early winter for us, outdoor ceremony, ended up having 60 degree weather and sunny for the ceremony, perfect weather (had a storm roll through during the reception but that was indoors). My other sister also got married outside on April 28th, early spring for us, she had 40 degrees with 20 mph winds.....in a field......we all froze. Sad to say how incredibly cold I got sticks in my mind waaaay more than how pretty her ceremony was. One of the many reasons I went with all indoors.

We are in Massachusetts, so the weather can be unpredictable as well. In late July, it's usually hot and humid, and we can be reasonably sure that mosquitoes will be involved!

We may be able to get the best of both worlds with an outdoor ceremony (at a different time) and indoor party.

We definitely need to think about it more, but also need to make a decision very soon. It helps to talk it out. Smiley smile

We made our final decision based on:
    1. The feel of the venue. One felt more like us than the other.
    2. Bar options. One wouldn’t allow us to have hard liquor, which is our preferred choice when we drink. 3. Location - both are out of the way, but one is easier to get to than the other. 4. Since It will also be our ceremony space I wanted one that had a separate indoor option rather than just the reception space in case we got moved indoors.

Things to consider, in my experience.

Weather and bugs are huge. For the pavilion you'll need a plan B in place. So many times weather is off and couples are left scrambling. Think about bathrooms, heating and cooling along with rain planning.

Backyard weddings are a huge amount of work for the numbers you're considering. Search threads for backyard weddings to have a realistic look at that. Think weather (again), power, bathrooms, flooring, tenting, refrigeration, heating, lighting, sound/noise issues, parking, among others.

The pub in my mind is the "easiest" choice. It's within budget and predictable re: setup.

    Good luck choosing!

Yes it does and yes mosquitos would be an issue. Would it be possible to do tents with mosquito screens at one of the locations? Also think about your wedding parties attire with being outside especially the guys......tuxes in hot humid weather all day are no funn
