Final Counts for Meal for Wedding in 3 weeks! Help!

I’ve had a handful of people RSVP “yes” and then tell me they aren’t sure now and wouldn’t know until after our final counts are due for meals. If we overestimate and pay for 20 people who don’t end up showing, that will easily cost us at least $4000. How do we handle this? Especially with a choice of meal.

    “I need a decision by x date or I’ll have to count you as a no.” You don’t have to let others dictate how you collect RSVPs for your event.

    I fully agree with Sarah, though I would tell them a date that is one or two days before your actual confirmation dates so that you have time for those who don't reply promptly to get back to you.

    This makes no sense to me. . .why people think this is ok. . .it's a wedding and a head count is needed. Are you going to get no shows the day of, yes, are people who responded yes not going to show, yes. But to respond Yes and then say well I really don't know. . .just plain inconsiderate!

    Like others said, don't back down!

    People KNOW what rsvp means! I’d give a quick reply - we need to give the headcount by X date, if I don’t hear from you then, I understand that you can’t make it.

    This is so frustrating! Our reception is 7/24, so I'm dealing with it now too. Our numbers, including food choices, are due to the venue on Friday. I've decided that anyone who hasn't responded by Friday morning (the RSVP deadline was last week and we've followed up) can join us for dessert, but I'm not worrying about their dinner.
    Also, if multiple people respond either tomorrow or Friday, they're all sitting together whether they know each other or not. They'll get the dinner they want, but I'm not rearranging the entire seating plan because a few people finally decided to get back to us.

    Double check with your caterer. Ours has a "final" head count date 3 weeks before our wedding, but we are still able to add numbers (not take away) after that date until the week before our wedding. You might be able to tell them whatever you have at that date, and then tell those who are still unsure they have until x date or they'll be counted as a no.

    I like what Sarah said, I would simply say if you don't let me know by x date then I will have to put you down as no.
