Floating candles.. who fills the water?

Hi everyone!

I just wanted to ask a question regarding logistics of actually DIY'ing the floating candle centerpieces. I wanted to have a trio of vases with orchids and a floating candle on top, but plan on having 20 tables so x 3 = 60 vases to fill with water. We don't get access to the reception venue until 2 hours prior (it's at a hotel) but wondering.. for those of you that did this, were you able to get servers to fill the vases up with water for you? Or have your wedding coordinator help?

    You will need to contact your coordinator directly- others' experiences won't really be helpful as that was a different coordinator, venue, staff, etc. You need confirmation that they will do it or instruct staff to or if you are on your own.

    This should fall under your coordinator’s job. I created a list of things that I’d need done and made sure to ask whether they’d be willing to perform these duties before hiring them.

    Yes your coordinator should take care of this for you. Just make a list of what you need done.

    Assuming you have a coordinator, then yes, than falls under their domain. If you don't, ask if the groomsmen or some siblings can help pitch in for a few minutes beforehand.

    I would think your coordinator can do so. I had a day of coordinator and he didn't have to fill my vases but I think he would have if needed

    Since I don’t have a wedding coordinator. I will be doing it myself the night before. Then the next morning I will put the candles inside my jars and onto other decor items.

    Sounds really pretty! Talk to your coordinator/venue! If possible get this in writing or an email. Your contract may say something about what they’re able to do for setup too.

    Agree with checking with your own coordinator. Also, don't forget they will need to be emptied at the end of the night.... That can sometimes take even more time/be more of a hassle than filling them.

    I am having floating candles in the vases as well. My caterer actually said they would take care of this when they are setting up the tables. If you don't already have a coordinator, talk to the catering company if possible.
