Guest Transportation Help!

Samantha, on July 3, 2021 at 12:28 PM Posted in Planning 0 8
I'd really appreciate opinions on whether or not what we're planning is the best way forward. No airports are near our venue due to it just being how New England is. The closest airport is 2-2.5 hours away from our venue. We were thinking of picking up our guests from the airport and dropping them off at the hotel we're blocking and them scheduling a shuttle service of some sort to pick up and drop off guests at our venue. We have 25 guests and all of them will be traveling from out of town. Does anyone think there's a better way for guest transportation or does this idea seem practical?

I'm not sure how well it would work for you to have to pick up 25 people. That's a lot of people to try to transport such a long distance so unless you are renting a bus to transport them I don't see how this will be accomplished.

I can't imagine everyone's arrival time will be aligned and I just don't know how that would work. I know as a guest I would personally rent a car to have some flexibility.

Thank you for your response! My concern with having guest rent a vehicle is that they're all traveling in (some from Alaska and overseas). Isn't it on myself and my groom to coordinate transportation for them since everyone is flying in for the wedding?

No, while it's a generous gesture, it is not expected for you to provide transportation. It is helpful for your guests if you make suggestions on your wedding webpage of closest airport, train station, and/or car rental agencies and letting them know distance to hotel and venue and other things to do while in the area.

No, it is NOT on you to provide transportation. If it were a quick easy thing, it would be a nice gesture.
I would also say, people making traveling plans usually add car rentals, etc to their budgets. They may even not want to wait around for what transportation you provide, mot be stuck at a hotel without independent transport.
Anyone flying in will be prepared to get themselves to a hotel. If you know of particular people who can’t/won’t handle this for various reasons, you can reach out to help them.

I think it sounds like a PITA to try to coordinate that many pickups from the airport. If anything, I would organize one shuttle and tell them that it will pick up from the airport at X time, if they want to try to arrange their flight to align.

I also struggled with this decision, as most of my friends and family will be traveling from out of state. I felt it would be unfair to have them travel so far, pay for hotel and then transportation on top of it, but ultimately I'm giving plenty of notice, I'm paying a lot of money already, it's expected when you travel out of state for a wedding (and I've done it plenty of times), so all of them will be understanding. It would be a nightmare to try to arrange for everyone with different flights and such.

We had no choice but to do something similar. We are having a destination wedding. Everyone will be responsible for getting to their own hotel when they arrive. On the day of, everyone will meet us at our hotel and we have a bus that will take everyone from the hotel to the ceremony and then to the reception. We are deciding whether or not to hire a taxi company to transport everyone back to their hotel after the reception.
