Help me decorate my parking lot wedding!

Sheila, on June 21, 2021 at 9:17 PM Posted in Style and Décor 0 14

I am getting married at a beach house in August on the coast in RI. We rented the house hoping to have 100 guests, use the deck as half dance floor, half tables with seating for 80 of the 100 guests, laid back no seating chart, stations for food vibe. Well we started made our guest list which was non-negotiable and we now have roughly 140 guests we think will be attending, invites already sent so no take-backs. Now we dont really have the room for enough tables, I dont like the ratio of 80 seats to 140 guests. The ideas we had were to potentially use the whole deck for tables which would allow for 24-32 more seats and set up the food stations on the opposite side of the house in the parking lot.

To give you a visual you pull up to the house and the parking lot would have teh trailer bathrooms, and stations of food, card and favor tables, etc. Then you come up a set of stairs onto the deck which has the tables to sit and eat at, half of which will be removed to allow for dancing after eating. Then there are a few picnic tables (classy ones) on the sand beside the firepit and the ocean obviously beyond that.

What I need help with is suggestions on how to glam up the parking lot to make it not look so unclassy, descriptions on how to since I suck at DIY along with pictures if possible.. and if anyone has any other ideas on how to pull off an extra 40 guests in a not so huge space pass them on please!

This is tough. You need to have a seat available for every guest - even when dancing begins. I would probably scratch the dance floor and opt for more picnic tables. As far as decor, could you get a tent with some hanging florals and lighting? Or an arch with draped fabric for an entry way?

I want to a wedding that didn’t have enough seats for everyone. It kind of made me feel like an after thought and like I wasn’t really welcome. I’d definitely try to have seats for everyone.

We figure people will thin out after dinner and there are always people in an out of seats all night. We also have the beach so we figure people will be walking around on the beach a lot of the time or can sit on the beach once the formal type stuff is all over. I love the arch on the way in idea! And the tent could maybe sort of frame the area so I like that idea too.

You definitely need seats for every single person. Don’t assume they’ll leave or walk in the beach during your wedding, they’re there for you! Everyone needs a chair. I’d scrap the dance floor and let people dance on the beach if they want, but have chairs for everyone up on the deck or around where people can sit and rest.

You can line the parking lot with flower arches, like someone said or nice lanterns

I would line the parking lot with lanterns and scatter flower petals all over.

I agree with the lantern idea, but also agree that you need a seat for everyone who RSVPs yes. Also, do you have a backup plan for weather? It sounds like your entire event is outside, which is fine, but you might want to consider what your plan will be if it’s raining.

We don’t have a lot of options given the room we have, un-inviting people would make them feel worse LOL. If we put the tables on the deck and move them for dancing after dinner we will have I believe 112-128 chairs depending on the amount of tables we can fit up there with no dance floor, so there may be enough for everyone providing 30 more people end up RSVPing not coming. 5 of them are kids under 10 who really won’t be sitting all night. I really am just looking for advise given the facts that there will be more people that we can truthfully fit for a sit down dinner

Our rain plan is to put up tents if it rains. We aren’t too concerned about it, but if it does we can throw up some tents over the deck.

Hmm so you all would rather have a seat for the whole night assigned to you then a place to dance? I just think that after dinner half the guests are in and out of chairs, so to remove a couple of tables for a space to dance wouldn’t be a huge deal since half the people are on the dance floor

Yes, I’d rather have a seat the whole time because when I get up to dance at a wedding, I usually leave my clutch behind. If they take away tables and everyone is switching seats all night, I’d have to take it with me to the dance floor.

You need a seat available for every single person. *you* invited 40 more people than you knew your venue could hold. Yes, either uninvite them or have enough seating for everyone (get rid of dance floor).

Yep, same. A seat for every guest is pretty much the biggest non-negotiable for a wedding. Desiring a "laid back vibe" with no seating chart and stations for food doesn't absolve you of needing to provide seats for everyone who attends.

As for decorating the parking lot, I would definitely think "less is more" because you can't hide that it's a parking lot no matter what you do, and trying to make/buy/bring/set up and clean up a ton of decor will be expensive and stressful.

I'm in the "you need a seat for everyone" camp. If there aren't seats for everyone, people will never have a "safe spot" to put down their purse, phone, jacket, drink, etc. Everyone needs a "home base" at a wedding, even if they spend 90% of their time on the dance floor or walking the beach.

Maybe you can create some sort of alternative for the dance floor either out front near the stations or on the beach area? Unfortunately you overbooked and you need to provide a seat for everyone for the entire time.

Along with the space to withhold this number of people, you may want to look into if the deck is built to withhold the weight of this many people, especially if it was built as a part of a home and not a commercial space.
