Help! Venue Emergency!

Christin, on February 2, 2021 at 11:58 AM Posted in Planning 0 36

Hey guys - really need some advice please!!! Sorry for the long post but really need some help.

My wedding is 6/5/21 in FL. We expect less than 100 guests. I reached out to my reception venue a few weeks just to check in and see if they have any regulations we have to follow for COVID and found out they have been closed for parties since we booked back in September!!! The manager told me they are closed at least through February for parties but they have a board meeting 1/26 to assess. It seems that they hold monthly board meetings to discuss the situation. I reached out on 1/27 to see the resolution from the meeting and she responded with “I spoke to our general manager and he said that the Board is probably not going to have us open for private parties through March at this point. We are hopeful for an April opening. I will keep in touch as I learn more.”

I’m really sooooo torn for many reasons and don’t know what to do because it’s up in the air with the venue and I’m not getting concrete answers. The thing I don’t understand is that most venues are open and operating at 100% capacity in FL (whether or not I think they should be doing that is a different story) but then this place just extended their shut down another month and doesn’t even give me a definitive answer as to how they’re basing their decisions, even though I asked. The space is big enough for 300 guests so we were told that social distancing the tables for 100 people should be no problem. I’m not sure what metrics they are looking for as to when they will decide to reopen since people are getting vaccinated now.

I LOVE this venue, it’s my dream venue and we got a good deal but its just really scary because if I wait out until April and they say they’re shut down, that will give me 2 months to see if I can replan EVERYTHING.

What would you do??? Do I just start now and plan it all over again to have something secure or do I wait?

I would start looking now and let other venues maybe know what’s going on. It’s so unfortunate sure that they didn’t let you know. But like you said, you can’t wait until April because you don’t want to rush. I also would hate for you to book somewhere else and they’re up and fully running my March. I would say you have some time but these 5 months will pass quickly

You might want to keep in mind, even though they may reopen again for parties in March, you still don’t know what kind of rules and restrictions they will keep in place. Everything from cake cutting, to dancing, to passed hors d’oeuvres, to changing your seating arrangement, are all things that might not end up being how you wanted it.

I understand this is your dream venue, but I think the question you might need to ask is will your dream venue be able to have your dream wedding the way you imagined it to be.
If you can’t push out the wedding, then I would definitely suggest looking into other venues and making it perfectly clear to them that you need to have a full understanding of the Covid rules etc. before signing any contracts.

Christin, I’m so sorry! It’s nuts the venue is not being clear or giving specific direction. I would suggest having a “backup” and get a regularly scheduled meeting (maybe the day after their board meeting) with your contact. I would ask them if an outdoor option is available onsite, what their other brides are doing, if you have a tent wedding at your home could they still provide catering, etc.. I wouldn’t back out yet but explore additional options if you need to pivot. Good luck girlie ❤️

I would look at other options. You need the time to plan ahead for when invites go out also. And the last thing you need is your invites to say this venue as the location just to find out that it's still a pending situation. You need a concrete answer fast for your guests and most importantly, your sanity. So sorry!

I would definitely have a backup plan because you have no idea if they will open and if they are what their restrictions will even be.

What part of Florida are you in? I agree with the other posters. I would start looking for other venues. I'm in Florida too, so it seems odd that this venue has self-imposed a shutdown, but they may just be risk averse and do not want to take the risk of anyone being exposed on their property. I know it sucks, but you should start looking now for your own peace of mind and to be able to continue with your planning. Also, if you're not a part of the Florida wedding groups on FB, they are good resource for last minute vendors -- even venues. You'll get a ton of information (prices, availability, etc.) by posting there.

I'm in Orlando, but I got married in Destin. The names of the FB groups that were super helpful to me while planning are:

    * Florida Brides & Grooms To Be

    * Florida Wedding & Event Services/Vendors/Couples

These groups were AWESOME resources for me. I think there are several groups that are specific to South Florida couples that may be even more helpful to you. You can search in these groups to get some ideas, and post your SOS there too (letting others know what you're looking for (location, budget, vibe), and see what you get. Good luck! You got this!!

I would definitely start looking at other venues just in case. It wouldn’t hurt you if you don’t have to use it but also Keeps you on the safe side of things!

Could you postpone to next summer? Would they allow you to do so for no extra fees? I know it’s not ideal, but that might be best so that you can let COVID get better and guarantee that your dream venue will be open without all the stress of checking in every week.

Florida is a state with more laid back covid restrictions. However, this venue sounds like when it opens up, it will probably be very strict. I would start looking for another venue at this point. You have enough time to find another venue - when I postponed my wedding to the summer due to covid, I moved it to a Friday to keep my vendors, so that’s something to consider. Tough situation, wish you all the best of luck!!!

    Hey,

Getting married May 8th, and yes this is a very scary time for all brides due to this Covid.. So far so good, just still in a panic about the Hotel Venue where I'm having my wedding if the caterer will be up in running.. Still haven't done our tasting, but was told I can come in early March if everything is back operating.. Yikes but I have my fingers crossed that all goes well, and the Covid goes away for all of us new excited Brides... But Hotel weddings will be your next best options I think, just have to have a back up caterer just in case..

    Congrats...

Is your venue strictly a wedding venue, or is it also a country club, hotel, etc.? It seems unusual that it would be choosing to stop events if it isn’t required to, especially if it their main form of business.

Yeah you’re right, it’s not my dream venue if it’s unpredictable!! I def don’t want to push the wedding out either and would rather do something really small on that date.
