Hotel Accomodations

Brelynn, on October 26, 2022 at 3:21 PM Posted in Planning 0 9

How many hotel rooms should you typically block? We have invited roughly 400 guests with a good amount of family coming from out of town. I want to make sure we block enough but don't go overboard considering RSVP's aren't in yet.

If you have a lot of people coming from out of town, I would set up courtesy room blocks at minimum two hotels, with somewhere between 10-20 rooms at each one. Have you sent out Save The Dates yet? If not, you could always include the hotel block info with your Save The Dates, so people can book early if they want.

Ok thank you! I am in the process of reserving blocks at two different hotels. I had told one hotel 20 rooms and am waiting to hear from the other. I may seek another hotel as well just to be safe. We did already send save the dates, but I included our wedding website on them which I plan to include hotel information in a separate tab.

I thankfully didn't have to deal with this since we got married at a hotel they automatically blocked off a certain number of rooms. I will say some guests stayed elsewhere like Airbnbs and other hotels. While hotel blocks aren't necessary they are nice to offer to guests as an option. With your large guest list and a good portion of them traveling for the wedding I would try to block off rooms at two hotels. Maybe one more upscale than the other so they have a price range.

I have 3 hotel blocks, each with 10 rooms held. One is located 5 minutes from the airport and is in the lower price range, one is in the heart of downtown and is mid-range $$, and the third is located right on the island where we are getting married-and because of this it is on the high end budget-wise. All 3 are highly rated, and I visited all of them to confirm I was sending my guests to a quality hotel.

Also, make sure you find out the hotel’s policy for adjusting the room block/cut off date for when you need to give them a final number. If a hotel is going to be super flexible about it, then it’s easier to just have enough nights to cover your wedding events for however many families are traveling from out of town. But if they have a limit on how much you can reduce the block once giving them the number, then you would probably want to be a little more conservative with your estimate.
