Hotel Block Room Cost

We planned on setting up a hotel block for our wedding because it's a "destination" wedding for everyone whether they need to drive a couple hours or take a plane. However, when my fiancé looked into booking the room blocks he noticed that the cost they were quoting per room was more than what you could book it for elsewhere on the internet. Since our wedding is October 8 and that's the long weekend for some because of Columbus/Indigenous Peoples' Day, I'm worried that the cost of rooms might go up if people wait to book closer to the date, which would make booking the block for the current price worth it. The town we would be booking the block in has a ton of different hotels, so it's not like if one books up there's no chance of finding another room. Has anyone else experienced this while trying to find a room block, and would you book one in our case or just let people find rooms for themselves?

    I would try to negotiate with the hotel. Tell them that you found it at x price and see if they will honor that price. The worst they can say is no.

    I agree with Hannah. When we booked our hotel block, the hotel offered a courtesy block (meaning, no cost to us and we are not responsible for any unbooked rooms), and they gave us a discounted rate for our guests. If you found that you can book the rooms cheaper elsewhere, I would definitely ask the event coordinator (or whoever you are working with) at the hotel if they would match that price for the block.

    The hotel should offer a courtesy block which means no money out of your pocket. Not all blocks are cheaper since is just them setting aside a group of rooms at a set price. When we were looking into blocks, it was actually cheaper for guests to locate their own hotels. as they commonly do, since they didn’t offer discounts with a block. This is in a major city/high cost of living area with a range of prices.


    In your case, just a few hotels in a range of prices from Motel 6 to Four Seasons. Let them decide when you send the info with your save the dates. In most areas, Columbus/Indigenous weekend is not a big travel holiday like Labor Day or Memorial Day so I would not worry about prices skyrocketing.

    Thanks everyone! I will pass this on to FH since he's in charge of the block. I think right now the best he's been able to find puts us responsible for at least 20% of the rooms, so if we can't figure out a true courtesy block we'll most likely just suggest hotels for our guests on the website and by word of mouth.
