Hotel blocks

Jill, on October 10, 2019 at 12:17 PM Posted in Planning 0 11

Im getting married next September 2020, how far in advance should you try and get a hotel block? Who has one already? Was it easy to do? Do you have to put money down? How does it work???

I booked ours 11 months out (just last month). We chose what was the most decent priced and as close to the location as possible. I did extensive research on multiple hotels including reviews (of course not all hotels will have 100% satisfaction) and talked with FH about which ones he also felt would be better to book with.

Make sure to ask if they have a courtesy block (basically asking if you would be financially responsible for any of the rooms). How many rooms can you book at a time? If you need more rooms later on, could you add more?

You could ask about complimentary breakfast if you'd like but more times than not, they would have already stated such. You definitely want to make sure what check in/out times are. When you find out the deadline for your block, you can tell your guests at least a week before that because some people like to wait till the last minute.

One hotel (luckily stated in the contract because I forgot to ask) mentioned that if a person checks out of their room AFTER the check out time, they would be charged another full night! I've never heard that before but I put that little tid bit on our accommodations page on our website.

I have a block at two hotels. Nearly all of our guests are Out of town. I just talked to the manager. No money put down. If not booked by a certain date, the rooms will be released from the block.

our wedding is September 19, 2020.

We are 7 months out and just got our block done: 10 room courtesy block and able to add to it with the block ending 3 weeks before the wedding. If we had done more rooms then we would have to pay if 80% weren't filled. And we didn't have to put any money down.

I actually used the hotel planner service with WeddingWire and it worked out fairly well. My suggestion would be to make sure you put the town where you want you hotel(s) to be to get the best results.

Make sure they can do free welcome bag delivery in the contract or a small fee, if you're doing those.

I set mine up a little over a year in advance. The block itself didn't open up until about 50 weeks in advance. I did mine early because it's labor day weekend and almost all of our guests are out of town so wanted to ensure everything was ready for them to start making plans when they got their save the dates.

Ours didn't require any money down or anything like that.. just a signed contract. It was super easy to get all the details from all the hotels (I called 3 and we chose the one with the cheapest price and best amenities for our guests). Just ask for their sales representative or mention you're interested in a room block and they'll be more than happy to help!

Our wedding is August 2020 and we blocked the rooms last month (so 11 months out).
No money down- just a discounted rate for our guests. They set 20 rooms aside for us and they've already been booked (lots of people travelling to come).. so now they set another 20 aside for us to fill.

We did two complimentary blocks, 15 rooms with Marriott and 10 rooms with Wyndham. The Marriott was our main block so as it filled, we added rooms 5 at a time at the same rate as long as they were available in the hotel. We set it up 1 year in advance via email and didn't put any money down.

We are getting married in October 2020 and I just finished placing our blocks. Our wedding is a week before a major convention called High Point Furniture week when just about everything will be booked up. I also booked with three different hotels to give a low, medium, and high price point to our guests to suit their personal taste. All of our guests are coming in from out of state so I really want them to be as comfortable as possible. Each of the hotels I booked with has complimentary breakfast, and each location has at least 1 general perk to it like hotel shuttle, pet friendly, or wine reception nightly. I used the wedding wire bidding tool and each of the hotels has been super easy to work with; none of them charge for rooms that aren't booked and we as a couple have no financial obligations like a deposit. Whatever rooms our party doesn't book are released to the public 30-45 days before the event. Hope this helps, good luck!
