Hotel Room Blocks

Ashley, on February 17, 2023 at 11:45 AM Posted in Planning 0 5
I am about 7 months out from my wedding day, and I’ve contacted about 10 hotels and none will provide room blocks (all full). I’m trying to keep the distance to 30 minutes from the venue so we can provide a reasonable shuttle for out of town guests; however, it appears I may be all out of options. There must be something else going on that weekend.

Any suggestions on what to do?

Expand your search to smaller chains and lower stars. Meaning while the Four Seasons or Hilton is full, the Best Western or Quality Inn may have availability, even if they don’t have shuttles. Many people opt for rental cars and a designated driver.

When you say the hotels are all full, do you mean there are no blocks left? Or that there are no rooms left to reserve? If there are no rooms left at any of the hotels within half an hour from your venue, you may have a problem on your hands. Is this a local wedding, or do you expect a lot of people will have to travel for it? If it is a destination wedding, this may prove very difficult. If it is a local wedding that just a few people will have to travel for, this may not be THAT big a deal. If a large portion of your guest list will have to travel (especially really close friends and/or family), it may mean a huge inconvenience for them, or possibly even the inability to attend. If that is the case, is it too late to move your date to another weekend? Or move the location to somewhere hotels are more readily available? Have you checked every single acceptable hotel in the area? What about Airbnbs?

Do they mean they have no rooms period or just no room blocks? If they have absolutely no rooms within 30 minutes and you have a decent amount of guests that will need a place to stay then that's definitely an issue because guests aren't going to want to stay too far away. If that's the case you might be forced to change your date or location of your wedding.

Do you mean no rooms at all or no blocks? How many guests to you have travelling? If the issue is no rooms, then I'd think the next step would be to change your wedding date. We originally had to change our date as well because there was a major event in our city the same weekend as our wedding and we couldn't find a hotel within 30 minutes to do a room block. It was annoying but early enough in the process that we managed to keep all of our vendors and venue and just push the date back by 2 weeks. 7 months out sounds a bit more complicated...definitely clarify if the issue is rooms or blocks. I hope you get it sorted out!

I agree with PP. If plenty of rooms are still available but hotels are just not offering blocks or there aren’t that many who will need rooms you may be OK to just list a variety of hotel options for people. Everyone doesn’t have to stay at the same hotel. I’d get clarity on this from the nearby hotels and if necessary let out of town guests know they should tentatively book now, before RSVPs.
