How long is too long?

Caitlin, on June 20, 2022 at 1:32 PM Posted in Planning 5 8

How long is too long to wait for a response from a wedding vendor you've already hired? One of my vendors I'm already having a hard time keeping in touch with and getting to answer questions... She's well known and respected though so I'm confused as to what's going on. Is it unreasonable of me to be expecting an email back in a relatively decent amount of time even though I'm still 7 months out? We're going on 4 months for one email (which she told me she never got when I asked on instagram) and then the other 15 days.....

The first thing I would verify with her is that you have the correct email address. If she says she never got your email, did you double check the spelling? Maybe there was a small typo in the address you sent it to? Or maybe she changed her email address recently and doesn't look at the old one anymore?

One positive sign is that she replied to you on Instagram, so she doesn't appear to be totally ghosting you. Taking over 2 weeks to reply to an email seems excessive. I would follow up with another email to say something along the lines of, "Just checking in to ask whether you've had a chance to consider the questions from my last email?" If she doesn't reply to that one, I would send her another Instagram message to say that you sent her an email, and ask her to verify whether she received it. You could also try to send her the questions through Instagram, or even schedule a phone call with her to get a quicker reply.

At the height of wedding season, I do feel it may unreasonable to expect a response to questions 7 months out. Vendors are working double time at the moment with all of the Covid rebookings and current weddings. If it happens to be a caterer, they're also currently working in graduations.

I appreciate you checking my expectations!! I think I tend to forget that it's the height of wedding season very easily. That absolutely would make a vendor much more busy and focusing on more immediate clients

Good advice! I'll definitely keep up with instagram or give her a call if I don't hear from her in the next week or so. I don't want to bug her since it's still a ways off but I also do need to know if she needs anything on our end haha.

If she’s popular, it makes sense she would be busy. What type of vendor is this is specifically and what information do you need to share this far ahead?

Floral/Decor. I need to know if there are any rentals that she needs my fiancé and I to make sure and take care of.

Not sure if this will help while you are waiting for a reply, but most florists have all the rentals on hand. You will just need to return vases, etc. after the wedding.

I disagree that you shouldn't expect a response this far out. My caterer answered dozens of my questions 6 months ago. I agree with Lisa that you should double check the email address and ask your vendor to check that your emails aren't going to spam.
