How to find out if my guest arent staying at the destination wedding hotel?

Hi All!

If you can I need some tips on how to find out if my guest aren't staying at the hotel we are holding the wedding at in Jamaica. The only reason I need to know is because if the guest don't stay at our hotel they need to pay wedding pass fees & have id on them to be able to enter the resort - so I need to give the hotel a heads up on the amount/peoples name who aren't staying with them be are coming to the wedding.

I put the pass cost/info on the wedding website but not everyone checks that, I figured when I send out the RSVP's I might add another card for "Coming but not staying at the hotel?" - and explain cost on the back..

I have no idea but I am not a big fan of email / FB groups for my wedding guest to explain these details. But I will if I have too.

    We asked for where people were staying when they RSVP’d so we could figure out how many shuttles in each area. It worked well for us. If I were you I would cover the cost of the pass for people staying at a different hotel.

    If there is a fee for guests attending your wedding but not staying at the hotel, you need to pay those fees. Guests are already shelling out tons of money (flights, hotel, outfit gift) to attend your destination wedding. They should not have to pay a fee like a person does to get into a club to get into the wedding.

    I think setting up the rsvp as a “attending (staying at the hotel)” and “attending (staying off site)” is the most effective, and having the details of carrying id/obtaining the pass included in the invite suite, but I also agree that you should be covering the cost of the passes.

    Yep, I agree with this. Ask for this information in the RSVPs, and plan on covering the cost of the passes for your guests.

    I also think you need to cover any entrance fee. That's a wedding cost associated with your venue, guests shouldn't pay that.


    For the ID, depending on how many guests are staying off site you might want to speak with them personally so they know what to bring and what the process of gaining admission to the resort is.

    I would include a details card explaining this and then on the reply card include attending (staying at resort hotel), attending (staying somewhere else) or no attending. I agree with the other posters that have said that you should pay the fee for them to enter the resort.

    Your hotel should be able to provide you a list of who IS staying on site as part of your hotel block. Compare that to your confirmed, yes RSVPed guests and that should give you an idea who is staying off-property.

    You should be the one paying the pass cost for people having to pay to get into your wedding. I would imagine you can get a list of who from your party is staying at the resort, and extrapolate from there who is not staying at the resort based on your RSVP list.

    My hotel for my destination wedding offered to send me a list a few weeks ahead of the wedding so that I know who reserved through the block. I recommend contacting the hotel for the list, and contacting all guests who did not reserve through the hotel block to see if they still booked the hotel but not through the block.

    I would plan on covering their fee, I'd be so turned off if I went to a wedding and had to pay a fee to get in. I'd include this information on your invites, website & RSVP.

    As others have mentioned, I would add it to your RSVP cards but requesting what hotel/room so that you can cover the fees for them to attend your wedding.
