How to plan hotels for guests during Covid?

Hi everyone!

Our date - September 6, 2020 - seems to be approaching more rapidly everyday. Our venue still isn't officially opened due to COVID-19, but they also haven't told us we need to cancel our event. They so far just recommended reducing our guest count, which we've done. Our invitations arrived and, after some thought, we've decided we're still moving full steam ahead and keeping our date. I plan on dropping the invitations in the mail in the next few days and am finalizing wedding website details before dropping them off.

We hadn't planned a hotel block even before COVID as the majority of our guests are local, so I hadn't really planned on putting a "Travel" page on our website. But as I talked it over with my sister/maid-of-honor, she felt it was a good idea to still list nearby hotels for those few that are from out of state, even if we aren't reserving a block.

Doing the research now, I'm worried about recommending hotels or ways to get around when I'm not 100% sure what places are open, or what requirements/restrictions they'll have for guests. I guess what I'm looking for is if anyone else has put any COVID-19 related verbiage in their travel section on their website. Would it be rude if I listed the hotels that were nearby but then added a note along the lines of, "Please be mindful of any travel/cancellation restrictions due to evolving COVID-19 situation." Though our venue hasn't given us reason to think we'll need to cancel, I still have it in the back of my head and would hate for those out of town to lose any money if they ended up cancelling reservations.

Any wording advice is appreciated! Thanks!

    It's not rude at all, but most sites are all posting the Covid restrictions. I think if you want to list hotels you should call them all first and find out if they are open. Before we got our block, I used ww's hotel search along with comparing prices on various 3rd party sites and noted all the information on our wedding website so our guests could make their own decision where they wanted to reserve their rooms.

    Almost all hotels allow for cancellation before 48 hours without penalty. It shouldn't be a problem.

    I don't think that's rude at all. Listing what is in the area, including hotels, is a great idea. I would 100% put a disclaimer saying something along the lines of "Due to COVID-19, certain attractions/hotels may have restrictions, limited hours or closures. To ensure you have the most up-to-date information, please contact the hotel/attraction". I would also list the phone numbers to whatever locations you put on your wedding website.

    With the hotel cancellations, I'd say there shouldn't be anything to worry about. Most hotels give guests a 24-48 hour period prior to their check-in where they can cancel free of charge. If you are having hotel blocks for your wedding, make sure you know that hotel's cancellation policy and pass it on to your guests; even though they will receive that information with their confirmation when they book. Some hotels may even have updated their policy due to COVID-19, so just make sure you get the most current information from them. I work in the contract's department of a timeshare company and I'm based at a resort. I know our resort's policy with our cancellations has become very lenient since COVID-19 started.

    I think it's a great idea to add a disclaimer, and think Kaysey has good wording as well!

    It seems like most hotels are being very upfront with their opening status and still have very generous cancellation policies, but seeing the disclaimer is a good reminder for everyone to double-check before booking!

    I’d say just call the hotels and verify with them if they’re open and what’s their policies as of now, in order to do A room block most hotels require at least 10 rooms. If you don’t think you’ll need that many then instead of doing a block just have a couple of hotels listed on you’re website that your guest can look at & book themselves , having the hotels number & addresses on your site would be helpful
