Invitation questions

Lynne, on April 16, 2022 at 4:24 AM Posted in Planning 9 20
Getting ready to start working on our invitations and RSVP cards. Since we are making place cards with everyones names, when should I have the RSVP by date?

Date is August 6th, should I send invitations at the beginning or end of May?

Send invites in June, that would be about 6-8 weeks before your event which is what they recommend. RSVP date will depend on when your caterer and other vendors need final head count by. We will be setting our RSVP date 2-3 weeks before the event.

I think that's what the caterer said was they need a final head count at least 2 weeks before.

We just printed our place cards (a week out) at a local print shop, as we had a few last minute changes. We sent our RSVPs about 10 weeks out (as most our guests are traveling from out of-state), and requested they RSVP about 4 weeks out, as our vendors needed a final headcount 3 weeks out.

We sent ours at end of February, RSVP due by April 9th, wedding May 21st. We got almost all of them, but are down to a few stragglers. I’d say bake in some cushion time for the RSVP deadline so you aren’t chasing too many people down last minute.

When is your wedding date because you need to give 3 months is enough time. I put late june beginning of july because some may get lost in the mail but dont see how that possible.

Ask your caterer (which is usually separate from the venue) when they need a final headcount. Often that is 2 weeks before the wedding. A headcount due at 4 weeks is a red flag. Add a week buffer to track down anyone who has not sent in their rsvp. That puts you at 3 weeks. The traditional rsvp due date is 4 weeks before the wedding. Many employers don’t give final schedules before 4 weeks and no one can predict what they are doing for absolute certain before that time. Which is why rsvps due anywhere from 6 weeks to 6 months before the wedding will not be accurate in any way. If you send invites with replies due at 6 weeks or earlier, 1 or more of 2 things will happen: guests will lose and forget the information and/or they will assume you are B listing (which is seen as a faux pas in many social circles) and that you don’t know who you want in attendance.

The reason invitations are traditionally sent at 6-8 weeks standard before the wedding is because it is the perfect middle ground between the save the date over the phone at 6 months and the 4 weeks reply they can actually commit to.

Looking at the calendar, 6 weeks puts you at the week of June 20 to mail them out or 8 weeks puts you at the week of June 6. I would not send them any earlier than June 6.

I'm making my own place cards too. I'm going to make one for everyone on the guest list, that way I don't have to wait for RSVPs.

With the caterer needing two weeks notice for the final head count, I would set the RSVP date to at least a week before that, just to give yourself extra time to track down anyone who forgets to RSVP by the deadline. Since your wedding is August 6, I would maybe set the deadline at around July 16?

As far as when to send the invitations, I would send them in the 6-8 week timeframe, so somewhere between June 11 - June 25.
