Just Said Yes March 2024

More “yes” Rsvps than i hoped

Marilyn, on January 7, 2024 at 6:39 PM Posted in Planning 0 5
I am so worried because it is looking like a lot of our courtesy, out of town invites are getting “yes” responses. The venue can hold the extra, but I dread telling the venue manager that I’ve yet again increased the number. Now the room flip and configuration will have to change, becoming more complex.

This is giving me constant anxiety for some reason.

Unfortunately sounds like you over invited. It's important that you always plan for 100% attendance. We tell people that all the time here. I guess you'll have to take it as a compliment that so many people want to be there for you!

The venue manager's job is to accommodate your wedding - they're going to end up making more money from your increased headcount, why are you afraid to tell them? I understand if you were stressing about cost but this is literally what someone is hired to help you with.

Alas, you have to plan on the full invited list to attend. It’s your venue manager’s job to accommodate this kind of thing, and they know that something like a floor plan isn’t final until after RSVPs are in. Once your RSVP deadline has passed and you have a final count, just let the venue manager know your final number and how you want to adjust the floorplan. I guarantee it won’t be the first or last time numbers change on her late in the game. That’s part of the job.

This, exactly. If it is within your budget to accommodate these people, and the venue is large enough to accommodate them, then there is no need to stress! The venue will figure it out and plan accordingly. I would also suggest not planning a ton of details until you have your final headcount (things like table configurations, seating arrangements, etc.). It is going to stress you out if you have to keep changing things. Just wait until final headcount has been received, then work out those details.

Unfortunately this is a consequence of inviting people out of courtesy as a people pleaser when you don’t want those people attending. You can’t uninvite them so you have to add money to the budget and tell vendors that you have an increase in guest count. When venues have a fire code capacity (it only holds x number of bodies), you can not over invite at all. That fire code capacity includes you and fiancé as well as each individual vendor.
