Musician meal for 3 hrs?

Hi everyone,

We're getting married in Spain this October and we just realised that we have not clarified with our music bands whether a meal is expected. Our wedding is very small, just 24 guests and as you can tell adding 6 more meals would considerably add up.

We'll have a guitarist playing at ceremony/reception for maybe 30 mins?

Then the same guitarist will join a jazz trio for dinner, maybe 2 hrs?

Then we have an acoustics band (different band) playing after dinner, 3 hours?

So in total each band will not play or be with us for more than 3 or 4 hrs.

The contract does not mention a meal to be included, just refreshments and other technical things.

Should we offer a meal in this case? I wouldn't want us to be rude, but equally I wouldn't be comfortable paying a full meal for 6 more people since we cut the list to 24 to ensure we have a small wedding, therefore a smaller expense.

    Generally, three hours is an acceptable amount of time to go between meals, and usually vendors will include language in their contracts once they hit a certain number of hours and will need food. For example, my HMUA is going to be with us for 6 hours. She did not put a meal in her contract, but I also think that’s too long for most people to comfortably go without eating so I’m going to take her lunch order along with everyone else in my getting ready suite. But you should also check with your venue and/caterer to see what the options are for vendor meals. Those usually cost less than the full cost to feed your guests because it’s not the exact same meal. I personally don’t really like it when they just offer cold sandwiches when the vendors will be surrounded by guests eating fancy steaks and stuff, but some venues make that a cost-effective option. My venue lets them go through the buffet line once for a fraction of the cost of the guests. So they get to eat the same food, they just have to make sure they grab anything they’ll want on that one trip.

    In short: you should just ask. In the US it is normal for a vendor to need a meal if they are working more than 4-5 Hours.
