My venue booked a corporate event on the same day as my wedding... and wont talk to me...

Jessicamoo1023, on February 9, 2021 at 4:48 PM Posted in Planning 0 23

Basically the title.. but here is some more info..

I booked my venue on dec 6th because of state ordinances i couldn't book any earlier...

My wedding is july 23rd... we haven't heard anything from the venue since dec 18th, and we keep calling, emailing, etc.. and nothing. We get minor replies but our questions around... our wedding... never get answered..

we finally got a reply a week ago... only to find out that they double booked our wedding day and are having a corporate event at the same time in the same location (there are multiple venue options at the place we are getting married)...

We LOVE the venue that we want to get married at... but are stuck on what to do..

we had them save the date on dec 6th.. and everything was confirmed as saved on dec 18th... and then we got ghosted... I have literally been trying to give them deposit money since Dec 6th...

we sent out our save the dates already because they had confirmed that we had the date saved for us... and then they go and ghost us and double book....

we are having our reception at the same location and we cant even plan anything... we are just stuck eternally on hold it feels like.

any ideas on what to do? we still want to get married at the venue.... because it's absolutely beautiful...

Unfortunately, if you don't have a signed contract for your date and space there is nothing that you can do in regards to the venue. You can yell up and down about the bad customer service, and rightfully so, but if you didn't sign a contract and put the deposit down the issue is void.

Even if you were doing everything you could to get that date as far as communication goes, the venue may have been talking to the corporate event at the same time. It's possible that other event was going to bring in more money so they stopped contact with you (messed up as that is).

Do you have a contract signed by both you and the venue for your date?

I'm confused, do you have a signed contract with the venue? Or when you say you "booked" your venue what exactly do you mean?

Unfortunately no, the ghosted us during the process. They had me fill out the information for holding the date then nothing. I was trying to put down the deposit on dec 6th and she said that everything would be through email...

I don't know what else to call it... saved the date with the venue? had them hold the date? I was filling out the information for them to hold the date and then got ghosted.

Basically what they did is penciled you in for that date. I'm not sure why they wouldn't take your money if you were willing to put the deposit down on a day you met with them, but that seems super sketchy for a venue.

As someone that worked in venues for years, I would say the corporate group came in and offered them more, or they realized through the process that they actually didn't have your date open. What type of venue are you getting married at that they have multiple sites available? I would recommend trying to reach the GM of your venue or sales director and figure out what's going on.

Realistically, as unfortunate as it is, you don't have a contract, so you don't have any leverage beyond a bad review.

I'm so sorry. Since you don't have a contract, I'm afraid there's nothing you can do really. I would start looking for a new venue as soon as possible

I'm fully aware i have no leverage. I had given them all of the information to sign the contract and they just never sent me the contract.... and then ghosted us... in the last email i have from them before being ghosted i gave them all of the info they asked for to have them send the contract.

should we just try to find a new venue? we are getting married in july so the lack of contact from the venue in question is concerning... they are a resort/hotel type thing with like 4 different venue options. one of them is on the beach, one is just off the beach, and there are a couple inside options.

I just don't know what we should do at this point. we sent out the save the dates because we were told that we had the date held and that we had just sent the info for signing the contract... and then nothing,

Like the PP mentioned, without a signed contract there isn't anything you can do.

Call the hotel and ask for the director of sales. If they try to send you through to voicemail let them know that you're unwilling to do that due to prior communication issues. Ask for the GM or AGM who is over the Sales team. Ultimately the sales team reports to the GM, so you can still get a supervisor.

I would recommend starting to look for a new venue, but I would also be sure to try and do what you can to get ahold of your first choice to at least make sure that they haven't somehow sneakily gotten you on the hook for something they shouldn't.

I would absolutely recommend cutting your losses with the venue at least, because if they're already this bad at communication it doesn't bode well for you later.

Are any of the other options available for your date? If not, I don't think you have a choice other than to get a new venue, right?

I would most definitely look for a new venue. They have given away your date to a corporate event and are not responding to your inquiries. It doesn’t sound as though they have any intention (or any desire for that matter) to host your wedding. Even if they did reply at this point, would you really want to place your trust in people who have acted so unprofessionally and unorganized? I sure wouldn’t feel confident in them with such an important event!

Regardless if you get through to anyone, start venue hunting again. You may be able to talk your venue into a discount if you find a similar venue with better pricing for the inconvenience. Really I think you'd be better off with a different venue.

The bad communication is a deal breaker for me, they should be able to respond to you within 24-48 hours usually. Especially if it's a large hotel/resort they should almost always have a sales rep available.

If you have to, go through the front desk and ask them first if anyone from Sales is available and if not if they can direct you to a manger with a complaint/challenge you're experiencing with the department. The hotel I worked for that usually pricked ears pretty quick and got a faster response.

I'm sorry that happened, but as previous post stated, there isn't really much you can do to get the date and venue. A lot of venues will offer a "soft hold" but that doesn't mean anything unless you sign a contract and put a deposit down. The only thing you can do is write public reviews and complain about their service and how they handled the situation. I would start searching for a new venue or if you love that venue a different date and see if maybe they can give you a discount for not keeping in communication about what was happening.

I think you should read the writing on the wall and take your money somewhere that will respect you enough to communicate with you.

I can't see continuing with this venue resulting in anything but stress.

This is no way I would continue to deal to with this venue. In fact, I would've already started searching for a new venue after they started ghosting you almost two months ago. Venues are going to be limited so I would start your search ASAP. You might have to pick a different date and notify your guests immediately if that's the case.

I agree with this. There is nothing you can do without a signed contract. Also, I recommend you go with a different venue. This one obviously provides poor customer service.

Run away and find a different venue asap. Even though you love this particular one for aesthetics, they clearly don't care about your business if they can't even follow the basic procedures for booking an event.

    Browse eventective.com for an alternative.

I appreciate everyone’s replies to this!

We finally got a hold of the GM and they have squared everything away. (So far... ) and we are likely getting discounts.
We aren’t holding our breath... but they were very responsive when I told them the situation.
