Need advice: Shuttling guests to wedding

Allison, on January 1, 2022 at 2:36 PM Posted in Planning 1 6

Hey everyone!!

I will be shuttling guests from two different hotels which I have a room block at to our venue. This is a "must" and not a luxury because our venue does not have the ability to accommodate our guests' cars.

Here is my question: How do I communicate this to my guests on my invitations? Is this something that should be on the actual invitation (I feel like it should be so there are no misunderstandings)? How do I word it so it is nice but definitive? I will of course add more detailed instructions on our wedding website where guests will RSVP.

What about something like this on the invitation: "All guests will be shuttled to the venue, please visit our website for detailed instructions and to RSVP."

Would love to find people who have experience with this Smiley smile Thank you!

I definitely think you could do this. Another suggestion might be to put this information on a details card sent with your invitations, that way you can give them ALL the information in one place (especially because people tend to not look at wedding websites, despite how convenient they are and how much effort we put into them 🤦🏼‍♀️)

You can have an additional info card as part of your invitation suite. I also recommend putting it on your wedding website. I went to a wedding with this kind of situation (no cars allowed at the venue) so they made it very clear to guests when to be ready for the shuttle, and that cars weren't an option.

Are you including a details card in addition to the invitation? I think that wording is fine, or something to the effect that "due to the parking situation, all guests will be provided transportation via shuttle"

I would put on the invitation and on the website just so that everybody knows. You wouldn't want people late because they didn't know that there was not going to be parking. Something like "Due to no parking at the venue, we will be providing shuttles from the following locations. If you are planning on driving, please plan to park at these locations and utilize the shuttles provided" and then provide the names of hotels/addresses so people have the exact addresses where to go. This could be on the actual invitation or on a separate insert.

Have this listed on your details card, not the invitation itself. “Due to venue restrictions, we will provide shuttles for all guests to the venue from the hotel and back. Specific schedules will be announced”

I’d detail it in an invite insert, and I’d specifically note the parking issue.

We had a similar situation and while I included info in the invite suite, I also made welcome bags and put a print out in them with shuttle info, and gave the hotel a sheet to post in their lobby at the check in desk
