Need other perspectives on asking for sensible and satisfying catering

Hi everyone! I'm sure everyone has gone on a journey where their knowledge about catering has increased and their vision for their own wedding catering has evolved along with it. For example, a lot of the medium-nice catering options we started with for passed hors d'oeuvres then a plated dinner are a few thousand dollars outside of our price range. They were suggested by our planner and we're a little afraid to tell her that the price was too high. The other reality is that the actual food being on the menu seems way too fancy for our tastes. The caterers we were working with said they could make any changes we wanted and offered to be really flexible, but everything seems more complicated than we're looking for and I don't know where to start asking for something else.

To anyone else who has had a similar experience and found something that still satisfied their guests for some appetizers and a sit-down (though maybe not necessarily plated) meal but didn't require a ton of service costs and fancy ingredients...

What kind of caterers did you speak with that were a good fit?

What kinds of things did you ask them for or say you wanted that they seemed to really understand?


Catering wasn't something I was going to worry about intricate details for. I want it to be sensible and satisfying for my guests, but other details will be more front and center that day in our case!

    Don't be scared to talk to your planner. That's literally what they're for! And she may know a vendor that will serve exactly what you want in your price range. Don't stress yourself out unnecessarily.

    We ended up using a grocery store actually (think Publix, Jewel, etc) that ended up doing a fantastic buffet for like $15 pp. 2 meats, 3 sides, salads, bread - it was awesome and somewhere we might not have thought to look had someone not told us. Specialty caterers were SO much more expensive.

    Also, please dont' be afriad to talk to your planner and have her help you find more affordable options!

    If you are already paying for a planner, you are only hurting yourself by not being open with them about your budget and expectations. They can't help you if you keep information from them and they will just waste everyone's time and money if they keep looking for options that don't work for you. I would come up with your ideal catering budget, provide that figure (and any other relevant details) to your planner, and let them provide you with some new choices.

    We’re going with food trucks for catering for this reason. We found a couple by reaching out via email that will do appetizers and it was surprisingly affordable compared to other catering options.

    Def talk to the planner. Tell her how much you would like to spend and that you want simple food. They have seen it all, she won’t judge you at all!

    Look up catering menus in your area and request tastings. There is no reason that wedding food has to sacrifice taste for exotic avant-garde presentations seen on Pinterest. If that isn’t an option, have your favorite local restaurant cater with drop off pans.
