Out of Town Guests

Crystal, on April 12, 2022 at 11:34 PM Posted in Planning 13 5
So I know on the WeddingWire Checklist it says to contact out of town guests, but I’m not sure what to say? Is this a phone call? A formal invitation type document that I send out? Can I text it? Mail? Email?

Also, I don’t have any fine details like the schedule or confirmed itinerary yet. I did not make a hotel block just because the area is so expensive that I didn't want to burden people with having to stay in any specific hotel. I do have airport information, suggested hotels, suggested Airbnb stays, activities, and suggested attire on the wedding page but I guess most people don’t visit the page anyways.

How far out from the wedding day is it suggested? Traditionally this is how save the date notices were given to all potential guests regardless of location at 6-12 months before the wedding in parents’ and grandparents’ (and further back) generations. Postcards and magnets were not a thing prior to about 5 years ago but phone calls were and still are very effective for save the dates, and cost efficient for a strict budget.

When save the date phone calls are sent at 6 months, the couple doesn’t have a set itinerary yet and guests don’t expect them to. Hotel blocks are a new concept. Unless you are marrying in an area that is touristy with only one hotel option, let guests figure out their own hotels. Everyone has their own price range they are comfortable with. Blocks are not lower prices most of the time.
Wedding websites are a very new concept as well. You can send these via text or email to all guests but not everyone will read it. Those who do may or may not follow your suggestions. It depends on your crowd.

I did the same thing because some places was expensive and most of them are so picky so I told them not to choose a hotel too far out. So some got on there booking site and did well

WeddingWire suggests 4-6months, we’ll be 5 months out this month. I just used one of my stationery templates to create an “FYI” document that I’ll send out soon. I’ll send out a follow up doc closer to the wedding date in September with any updates and important reminders. Hopefully that helps.

Yeah I advised my bridal party and only one person booked. And only one out of town guest (my cousin) asked about rooms…and apparently she knew nothing of the wedding page even though it’s listed on the save the date smh so I’ll just send out an FYI document to everyone to get the ball rolling. There’s also a wedding the day before mine at our venue so hotels are already booked
