So I messed up a little…we decided to do breakfast the day after the wedding for our guests, whoever wants to join can, nothing fancy. We were planning on just having some Panera bagels and pastries ordered and we were going to rent out the meeting room at the hotel (thinking it wouldn’t cost much...
So I messed up a little…we decided to do breakfast the day after the wedding for our guests, whoever wants to join can, nothing fancy. We were planning on just having some Panera bagels and pastries ordered and we were going to rent out the meeting room at the hotel (thinking it wouldn’t cost much since we were providing our own food and it’d be for a small group for 2 hours). I put on our invitations we’d be doing a Panera breakfast at the hotel the day after the wedding and the invitations are already in production. Today I heard back from the hotel and they quoted me for $300 + tax + 18% gratuity for 2 hours when we are providing the food. That seems expensive to me as they are just providing an empty room with some folding tables. I told the hotel that was out of our budget and asked if we could use the public lobby or outdoor seating space. I haven’t heard back yet but I’m stressing out since I already put the breakfast would be at the hotel on our invites. I don’t know what to do if they say we aren’t allowed to use the public seating area. Everyone there would be guests at the hotel and we’re all paying the hotel hundreds to stay there for the wedding weekend. Any ideas on what I could do to resolve this? Should we be allowed to have our breakfast in the public area of the hotel if we’re all guests?

    Love this! That’s pretty much what I would like to do as well. I think we might go that route and just get some new invites made without the breakfast info included on it. ☺️

    Not sure what city you're in, but to me $300 is super reasonable to rent out a hotel conference room for 2 hours. We also had a farewell brunch and we looked into this when deciding on our hotel block, and we couldn't find anywhere willing to rent out a conference/meeting room for 2 hours for under $500. We ended up hosting our farewell brunch in the hotel's restaurant and paying significantly more, but to me, $300 seems like a great deal and very reasonable.

    Renting a hotel room, regardless of food isn't just "renting an empty room", Hotel staff still puts work into making sure it's clean both before and after your event, they set up tables and chairs, they're having to regulate temperature and lighting and everything else, not to mention that probably goes into any potential damage fees (say a guest spills coffee on the carpet). $300 seems fairly reasonable for 2 hours.

    As previous posters have said, either bite the bullet and pay that fee since you preemptively ordered invites with that info or find a cheaper venue and send update cards plus announce it at wedding or try to get the invitation company to change. But again this is your mistake for not figuring it out before ordering invites, so it doesn't seem fair to try to essentially take over a common area in the hotel because you messed up.

    I would avoid taking over a common area of the hotel. This would be extremely confusing to hotel guests who are not a part of your wedding, as it would essentially look similar to a continental breakfast, and you’d likely find yourself explaining to people that the food was not for them. It could also be against fire code if blocking hallways, etc.

    Agree with PPs above me that I'd just bite the bullet and pay the fee. In the end, you'll be saving so much money doing catering from Panera as opposed to hosting your guests in the hotel's restaurant
