Rentals overwhelming!

Oh my I never thought rentals could be so intimidating!!!
I have one company that I supposed to sign with that handles all tent/chair/linen/catering/bar etc.. Basically the route that requires so little work on my part since this last minute switch to outside.

I started to consider today NOT going the fancy all in one rental / caterer/ event planner etc... but the amount of rentals you need seems to be overwhelming! Is there a list of what you need? How are you all dealing with renting chairs/ tables / linens etc....

I am nervous if I decide to take this on myself - I am sure I will miss something. How do you know what the rent?!?

    I mean if you have a specific quote from that company you could always use that itemized quote as a list of what you need. Theres also a ton of resources online for these things!

    As you're making the decision, consider your own time and stress as valuable. How much energy will hiring this company save you? Also, if you end up renting from multiple companies you will end up paying multiple delivery and service fees. Consider how much you would actually save and what would that money go towards, is it worth the time and energy to switch? Will it really be less expensive to use multiple companies to do the same things?

    Thank you - I did find some itemized lists on line!

    I am not super interested in the time and energy - but I think I will get a few quotes to check. Especially since my MOH, FH and family all like the planning aspect better than I do Smiley smile That was one complaint I had with the event management company is that the rentals are not itemized but lumped together for a large sum.

    I guess it is not really multiple different people I would be renting from - rather one rental place for everything. The problem with hiring this company is it limits catering options. I would be switching from plated sit down dinner to buffet catering trays. Different vibes but worth looking into!

    An advantage of the all in one option is that all the set up is included. If you rent everything separately, are you renting from the same company? Will they be responsible for setting out all up? That would be my only question, because you don't want you or your family stressed out and doing labor on wedding day. If the set up is included and you still get freedom to choose everything, that sounds great.

    Hi! I was originally looking at a catering company that provided the tents/tables and chairs, etc. we then decided to go with a different catering company. We then rented our rentals from a new company that also offered bathroom trailers (it was a backyard wedding.). Many companies didn’t offer that so we went with them so we would have less vendors to contact and track down.


    I would say the less vendors the better, especially if you or a family friend are going to have to deal w them setting up the morning of your wedding. There’s a lot of moving parts. Good luck!

    I have found the fewer vendors, the easier the process. When comparing the price of an all-inclusive venue (includes caterer, bar, bar/wait staff, tables, chairs, linens, plateware, set up, tear down, etc.), it was really not that much more expensive; especially when you added in all the extra work and stress you have to take on when hiring separate vendors for everything. If you want the least stressful way to go, I would say to stick with the vendor you have now that provides everything.

    If the issue is that this vendor doesn't allow for played meals, I would find the caterer you like and then see who they recommend for the other stuff. They may take care of many if not all of the things that you need or direct you to someone they often work well with together.

    Thanks for the feedback- yes the tent rental comapany will set up tent/ dancefloor / tables and chairs... Best part if that since it is a private residence they will set up on Wednesday or Thursday since Saturdays are so busy for them and only charge me for the one day rental!

    Looks like it will only be 4 vendors:

    * Caterer

    * Bartender w bar hired off thumtack!

    * Tent / table/ chairs / dance floors etc

    * Portable bathrooms

    It does look like it is coming together nicely as the caterers will still provide set up etc and serving.

    Thank you - very good point. I think the difference is I love the idea of doing this at our home versus someone elses. Makes working with 4 vendors not as bad as the singular one. Pricing is pretty substantially different as well so looking good so far.

    Yes! I have the contract in the works with a caterer I love - it has relieved much of the stress!

    Ok - so rentals weren’t that bad! I think I was letting the stress off wedding planning overwhelm me. I’m so happy we finally have settled and booked pretty much everything!! This will be a great memory in our new home together! I had to stop caring what people thought I should do and do what felt right to us! Planning right now is certainly an adventure

    You have your venue already? Make appointments to do catering tastings with local companies who are not attached to the venue. Venues with on site catering and everything else included require that you book the whole thing and do the tasting afterwards at which point you are stuck if they are bad/mediocre.


    Catering company and venue should not be interconnected. Many catering companies will let you do tastings with no strings tied to the venue.
    The caterer or day of coordinator can refer you to an independent rental company if they don’t already have their own. Most do not have the restrictions you are describing. Take it one step and vendor at a time and you will be fine.
