Replacing the photographer?

Natalie, on September 8, 2020 at 12:25 AM Posted in Etiquette and Advice 0 7

Before Covid outbreak we'd had almost everything planned including the photographer. We've found a girl whose works were really nice. Not exactly what we wanted but we liked her portfolio and so we signed a contract but didn't pay the deposit (as the contract didn't mention it). Then Covid hit and everything went on lockdown and so on. During that time I was looking through the websites, the magazines etc just to get the inspiration. That's how I've found another girl in our area, whose works were exactly what we were looking for back then! I contacted her and she told me she could work with us, so right now we I have to decide how to politely decline the first agreement. I just can't think of the polite way of saying this! "Sorry, we've decided to replace you"?

Maybe more like .. Hi. Hope you’ve been well. We have decided to go with another vendor. Thank you for your help.

Agreed with the PP, just say you've decided to work with another photographer, it is understandable. Or, if you still have doubts about letting her go, you can ask her whether she is capable of doing things you'd want to see. Or just have two photographers, and then edit the photos from the first one in your own style in photoworks lol.

I agree with melle. But also what does your contract say about canceling? Even though you have yet to pay a deposit, it’s technically still a contract

I would tell her that while you like her work, you found a different photographer whose photo style more closely matches what you were looking for, and that you will need to cancel your contract with her.

Double check your contract first - even though you didn't pay a deposit, you might still be on the hook for some (or all) of the cost.

    Hi Vendor,
I wanted to reach out in regards to the contract we signed for our wedding on _____. Unfortunately, we have decided to go in a different direction for photography. As per our contract, we understand that we ______*. Thank you for your time and we wish you the best.
    Sincerely,Bride and groom
*Make sure you read your contract in full, especially the section that talks about cancellation. If it states that she’s entitled to a portion of the contracted price, mention which way she’ll be receiving those funds. Just be professional about your reply and focus on this as a business transaction. If her feelings are hurt by a business proceeding, that’s on her end, and not yours.

I was thinking the same thing regarding the contract. Even without a deposit, it was signed and the photographer held the date aside so that no one else could book it, with the expectation that they’d receive payment. So definitely check your contract.
