rsvp Card Wording...help!

MrsD, on February 18, 2019 at 12:30 PM Posted in Planning 0 13

I'm trying to figure out how to word our provided guest transportation on our RSVP card. Right now, I have "PLEASE RESERVE ______ SEATS ON TRANSPORTATION TO & FROM VENUE AND HOTEL." This is obviously after the RSVP line & name line. We are having a buffet dinner, so they don't need to put that choice.

Does that make sense to you? Do I need to further explain the transportation is free, or when the transportation plans on leaving? We will have more information in the welcome bags & both hotels. We just need a head count for buses prior so we are in the ballpark of the right number (being a few over is fine). Do I need the number line, or can it just be a yes or no question and I assume all guests in their party will take it? Let me know what you think!

That's a good point! Do you think that's too many questions on an RSVP card, since I'm already asking those for RSVP?

I like Chandra’s suggestion, if you want to do fewer questions then maybe “If you would like to use our free shuttle, how many seats will you require?” This way they can leave it blank or write 0 if they don’t need it.

Oh, I love this! And I think specifying it's a shuttle & free is probably a good decision.

I personally dont think it's too many!
We put lines to ask about kids ages on ours. We were going to do song requests too but put that online instead lol.
Theres probably a better way to simplify it!

I like the second photo option! Still looks clean.

Good point! Luckily we know all the kid's ages we are inviting, so we don't have to ask that question. Yours doesn't look like too many questions at all!

I would assume that for each RSVP card, the number of guests opting to use the shuttle would be the same as the number of guests attending, so I don’t think you need to ask that. For me, the important information to know would be to know times. When is the shuttle leaving the hotel and when will it be leaving the venue. This would heavily influence whether I used your complimentary transportation or if I arranged my own (Uber, etc). That may not all fit on the RSVP card (might not be appropriate on an RSVP card either) so I would consider including a details card.

Maybe just change it to "Please reserve seats on the free transportation shuttle to & from the venue and hotel. __Yes __No." You will already know the amount of seats needing to be reserved by their original RSVP question, and this lets them know it is free without having to go overboard on information. Then you could put on your website "There will be a free transportation service provided to & from the venue and hotel. For all of those that wish to utilize this service, please indicate yes or no on the RSVP card. Thank You!"

Very good point. Our venue has minimal to no cell service, so uber isn't an option (nor are there ubers in the area, the town population is around 1,000) so if guests can't drive they need to take our bus. But we did order a details card already that says "There is limited/no reception at the venue so Uber or Lyft will not be available. Please plan on designating a driver back at the end of the evening or taking our provided guest transportation. Cars left at the venue overnight must be picked up by 9 AM on Sunday. If you are interested in taking the bus to and from the venue, please indicate that on your RSVP so we can include you in the count for seats. The bus will leave the Marriott at 4:15 PM, and leave the venue at 10:30 PM." Do you think that's enough or should I add more?

That's what I was looking for, more of a yes or no! Thank you! I did add it to the website for sure.
