Signed contract but have not received countersigned

Alice, on September 20, 2019 at 11:20 PM Posted in Planning 0 8

Hi Community,

I am writing to find out what is considered "normal" for hotels to countersign the contract and take your deposit? I signed the contract and turned it in on Sep 11. I sent a follow up email on Sep 12 to ask the expectation of how long I should wait to receive the countersigned contract. She replied it take a few days to process. I gave it a week, and sent another follow up email yesterday, Sep 19. She said the contract I signed is complete, and she is going to follow up with her team and check on the status. It is now Friday night and I have not follow up, so I will need to wait until Sep 23 to follow up again. We signed a contract for April 11, 2020, which is less than 7 months away. Is this normal turnaround time for hotels to not take my deposit or give me a countersigned contract? Thanks!

Wow! That sounds unfortunate but also sounds like longer than it should. At least with mine, I did a courtesy block with my hotels and received a countersigned agreement within a few mins. I'm still waiting on the countersigned agreement for the other hotel I blocked but that seems a bit odd to me that it's already been 9 days for you. I hope you're able to get it soon. Have they actually taken your deposit already?

Hi Jasmine! They were so responsive with quotes and tweaking the contract. But after signing and sending them back the contract, I have had to be the one to initiate contact with them. I filled out the secure website where they can charge me for my deposit, and they have not charged me yet. So i am starting to get antsy, because I need to know if my date is locked in, and the venue, so I can start telling all my family members and friends. I'm definitely going to follow up on Monday. I just don't understand why wouldn't they want to take my money? They have everything already, and since i'm less than 7 months away, if i cancel, they still get a pot of my money. I don't want to become a bridezilla, but i'm starting to understand why some woman do. Smiley laugh

Mine took a little bit of time to come back confirmed to me. It was last winter, so I don’t remember exactly how long, but it definitely wasn’t overnight. So I think it depends on your venue. I’m having mine at a hotel, so they have to process it through the events coordinator and whoever else before it can be finalized. Not that any of that would change the contract, it’s just a matter of filing paperwork. I also had to work with a different person to reserve my block of rooms at the same hotel. That took even longer, but I had spoken to her and she informed me about the delay. I do have to say that after the initial delay in processing my deposit, they sent me the email with a link for my second payment on time and that went through without a hitch.

However I would stay on top of them to make sure you get all your paperwork and deposit secured. Don’t worry too much about it being the weekend. If they haven’t gotten your booking processed yet, they’re not going to be able to give your date away and process that in two days. They also may work over the weekend simply because that’s when most weddings and events occur. If you do cancel, they haven’t gotten your deposit, so you wouldn’t lost anything except for the venue you chose. But I don’t think it’s time to jump to a cancellation yet, just give them a call on Monday and let them know about your concerns. There may be a reasonable explanation for the delay, especially since you were told there was a team that had to process your booking.

Totally understandable! Like this is a huge part in wedding planning that needs to be confirmed. I would be right there with you but I guess it just also depends on the company. Maybe they just got super busy with other events or something. Whatever the reason, I hope they get back to you! Being a bridezilla seems stressful lol. That's the last thing you need is more stress.

Thanks ladies! I do feel a bit better now. But since i’m less than 7 months away, i have not been able to start booking other things as i do not have a set date yet. I think that probably adds to my stress as well. This is a hotel that I am booking with, a large chain. And i am also booking a room block of 30 rooms with them. I’m thinking it’s starting to be primetime wedding season, so they may be busier than usual. And thanks Jeanie for the deposit tip!

I don't think that emailing a few times qualifies you for bridezilla status - you're trying to pay them! It may be that tweeking contracts, etc. can be done in house, but final approval has to be done with corporate or another, off-site office and that's delaying things. Let us know if it all works out!

I sent a follow up email this morning. She replied instantly and said she had the countersigned contract and she would send it to me shortly. I never received it. Then i get an email at 4:05pm saying that the Administrator is out so i’ll be receiving the agreement back tomorrow when they r back in the office...
