Traveling with seating chart and wedding signs

Hi, Im wondering how destination wedding brides are planning on traveling with large items such as seating charts and/or wedding signs? My wedding is in Mexico and Im not quite sure how to plan for this, and due to COVID delays, I prefer not to ship any items.

Have you traveled with large items? What did you do?

And while we're on the topic... did anyone print seating charts on their own? How large were yours and which type of paper did you choose to print it on and why?

    Obviously shipping the items would probably be the easiest option; however, I completely understand your hesitation to do that, especially during the current climate. You could drive down to your destination with all your items, then fly home after the wedding, if you don’t mind throwing everything away down there. If you want to keep your items afterward, you would have to drive back home as well. Or, if any of your guests are driving, you could send it with them. You could check baggage policies with your airline. I know if we fly first class to our destination we are allowed 3 free bags per person. If that is the case, you could each fill a large suitcase or 2 full of your decor items. If you did that, you would definitely want to make sure you pack them very well, because I’m sure we’ve all seen how baggage is rough handled/thrown around. I would only go that route if your flight is nonstop though. If you have to switch flights, there is always that possibility your luggage does it make it. The only other option would be to either not use the decor you have, or to use an event planner or rental company in Mexico.

    Thanks Chrysta. Since the wedding is in MX driving is not an option (although that would make things SO much easier). The only option I have at this point is to pack it and hope it doesn't get damaged in transport. The seating chart may be too big for the suitcase so I have to look into other options or maybe finding a company in MX like you suggested. Decisions Decisions.

    I think most destination weddings naturally lean towards less home-bought decor/supplies. You would ideally use what the venue provides. When I was planning a destination wedding, the only thing I planned to bring was my dress, his suit, and wedding party gifts....everything else needed to be set up at the destination, with help from the venue/wedding planner.

    Yeah, I’m pretty sure driving across the border is restricted to “essential” travel at the moment. Although, by November, that may not be the case. Definitely check into the dimension of items you can bring on the plane. If the seating chart is too big, you may want to think of a way to just make one that is smaller and able to fit into your bags, or could be dismantled into a few smaller pieces and put together at the venue. Also, if you are having a smaller guest count, a seating chart may not even be necessary- you could just do place cards at the tables.

    Less is more!! I asked our resort if I could ship 1 box to them of wedding items and they said no due to liability. You could always pack 1 extra suitcase of just wedding items; only usually $75 maybe $125 for the third suitcase.

    I wpuld probably just skip these large items. Instead of a seating chart, you could opt for escort cards. Those are easier anyway for guests, since they're in alphabetical order and you just grab yours and go. You don't really need signs anyway. People know they're at your wedding. And there is usually staff to guide people to where they need to go. We didn't have a destination wedding, but we still opted out of having signs.

    Thank you all for your advice. I don't plan on bringing much but I was really excited about my seating chart lol. Worst case scenario I'll rent something through the resort. It's easy to get carried away in wedding planning and you all have reminded me not to.
    The whole point of a DW is to go empty handed right!

    Hi Patrice - I'm in the same boat right now going into my wedding in a couple of weeks. I have an awesome seating chart and welcome sign that I want to bring with me to Mexico but can't figure out the best way to do it. Did you end up traveling with yours? If so, any advice you can share would be greatly appreciated Smiley smile thanks in advance!
