Vendors Arrival Time

Rikki, on July 6, 2024 at 4:11 PM Posted in Planning 0 4
Hello! I know that I am a ways out but my mind asked a question and I wanted to figure out the answer to calm it.
What time do vendors normally arrive to set up for the wedding?
We're doing most of it ourselves but we do have a photographer, a DJ and we will be ordering a cake. We were thinking of started at 2. Any information is helpful. Thank you!

I think most of our vendors arrived somewhere between 2-4 hours before our ceremony, but it totally depends on your contract and what the vendor will need to do before the wedding. If you have them booked for a certain number of hours or if their services are needed before the wedding start time (such as the photographer capturing getting ready photos or first look photos), work with them on creating a timeline and use that to determine what time they should arrive. If you have them booked for all day (no specific limit on number of hours), or if they have a lot of equipment to setup (such as the DJ), ask how much time they require for setup. If the vendors have a lot of experience with weddings, they'll probably already have an idea of when they plan to arrive that day.

It depends on the vendor, the venue, and what’s allowed. My florist was there at 9am for my 2pm wedding, but if we hadn’t had as much time available she could’ve done it in a shorter period. I’d check with your venue when you’ll have access to the venue and then see when your vendors want to arrive.

We do have the venue from 9am to 11pm. We will be setting up first thing in the morning.

Thank you for the information. I will reach out to them about how much time they need to set up. They are friends and a friend of a friend so no real contract. I know their work and they do really well and it's hard to beat the price. But I will reach out to them and ask, thank you
