Venue contract causing concern

Hi everyone, I’ve been having a few constraints with my venue search since there are limited option in our price range and the area is more secluded . We found a venue we really love but they sent us the venue contract and we wanted to have an addendum added to it to add a few discussed matters . 1. The venue does not say it allows dogs (nor does it say it doesn’t allow dogs). Now to usthis is important because we will be having our in our ceremony . The event coordinator said they would allow him in the ceremony area and the cocktail area (both outside) . We are very happy they allow it but concerned there is nothing in the contract binding us with a certified commitment. 2. The contract also mentions that any pricing errors in the BEO (Banquete event order) will be our responsibility . Which okay do they allow us the opprtuniry to review it and is there a signature required ? Lastly ,3. In the case The cost of food or liquor may change we are responsible for the changes . They mentioned by phone that if in the even this happens they would give us an alternate option which would not disrupt our original cost (by either changing liquor to a less expensive one or changing salmon to a less expensive dish option ). But this too was not detailed in the contract . Now we spoke over the phone about these things and the event coordonator expresses that she has never received a request to alter a contract . Did not mention she understood our viewpoint just continue to verbally assure the adjustments are done although not detailed in the contract . Are we overanalyisng things or should we really wait the 3 plus weeks to get the contract adjusted to reflect those missed items ? I am beginning to think either this is just how business is ran and we arents used to it or that maybe we are getting a push back on our concerns with no real reason . Did anyone else have a similar situation and what was the final decision ?

    We had a few items added to our contract. Mainly because our wedding was a year and a half out at that point and you can't guarantee the person you are working with now will work there until your wedding. They didnt have a problem doing this for us. I'm a by the book person so I wanted to make sure we were covered. Maybe just say something like "we would be more comfortable if it was specified in the contract". It seems weird that it would take 3 weeks for them to update it. Ours had a revised copy to us in 24 hours. Good luck!

    For peace of mind I'd want everything detailed in the contract.

    Yes, I agree with the person above, you want those things in your contract so you are more at ease and it's one less thing that you have to worry about. We thoroughly read over our contract and there were no clauses about things like that because if there were I would have raised a brow as well. How can they change the dish without telling you but charge you the same price, same with the liquor, this means that they know that this is something that they're going to do otherwise she would have no issues putting it in writing. I dont know how I would feel about doing business with them.

    I do not believe you are overthinking anything. Just because something has not been done before does not mean it cannot be done at all. If there are things that are important to you, you will be best protected if they are explicitly written into your contract form. I encourage you to return your notes with the contract and politely request that language reflecting your additions be included in the final contract document. Best of luck!

    I want absolutely everything in the contract so if something comes up there are no questions.

    If she will not change the contracts then maybe you can have a different document typed up a signed by both parties to assure the changes are documented. I also think that maybe if you have this in any form of writing that may also be suitable, not entirely sure on this though. If you are spending thousands of dollars there and they are already agreeing to these things then they should not mind typing up something to protect both parties and ease your mind.

    You are right to have your concerns addressed in the contract. Vendor contracts are written with their interests at heart, not yours, so be sure to have everything addressed that you need. If they are unwilling, then I would look elsewhere. As for the dog, you might need to sign a waiver of responsibility so the venue isn't held liable if your dog bites someone and they sue.     Thank you all . We were beginning to think maybe we were overwhelming them but absolutely it would put us both at ease just like Micki said. I’m glad to hear that this is not something out of scope and even if things have not been done before no reason why they can’t be done now . We are working on adding the notes now . I’ll keep you all posted.

    If you don't want to wait a long time to have the contract revised, send her an email detailing the things you are concerned about and stating something like:

    the following items are not clear in the contract and I would like to clarify them in writing here. Please verify the following: 1, 2, 3, 3, etc...


    As long as they reply in an email to you and clearly state that they are confirming your questions, you should be fine. The email exchange, as long as it's acknowledged by both parties, should be considered a written confirmation / addendum.

    Have you asked the venue these questions? Or asked them to include their responses in the contract, or in a formal email between the two of you so you have it for proof?

    100% get it in writing. I never trust he said she said phone conversations. I used to work in billing for commercial services and customers were always trying to argue that their salesperson said X but it was no where in the contract so there was no way we could honor it. Always get it in writing. Always.

    We did that’s when they responded with “oh we’ve never received a request to alter a contract” and that it may take up to 3 weeks to receive a reply from corporate . We got our questions answered and expressed our gratitude and had to reflect on the push back regarding the contract not specifying what they are verbally stating .

    Thank you . That is exactly what we were concern about so going the safe way and if by chance it does take 3 weeks we will settle with a different date I guess .

    Absolutely get everything in writing and agreed to by the venue. My venue went through 3 coordinators in the year leading up to my wedding and if I hadn't had things in writing the last coordinator would not have honored certain prices and requests.

    Thanks everyone. We created an addendum to the contract and all points were accepted by the venue coordinator, so we're good to go. As a detail oriented couple, we had concerns about the ambiguity of the contract. Your comments of reassurance were well received and appreciated to reinforce our position and we covered everything that was important to us.

    Our date and venue is set, so now to contract the rest of the vendors!
