Venue coordinator vs day off wedding coordinator

Our venue comes with a day of coordinator (who also sets up and takes down our decor), so we were planning on not booking an outside wedding day of coordinator to save money. Now that our wedding is postponed, I really just want to have the most relaxed day possible and we've been revisiting the idea of a coordinator. I spoke with a coordinator I really liked, and then decided to reach out to our venue to see what their coordinator does to compare. The venue coordinator actually does more than I expected, so now I'm wondering if getting an outside coordinator is still worth it? Would love some opinions! Thank you!

What the venue said they would handle:The coordinator on-site here would be the go-to person for vendors, you and your bridal party, the one who queues music for ceremony and keeps track of the days timeline to ensure things are running smoothly and on time. You will have this person there on rehearsal day through the wedding day. They typically leave when the 'open dancing' starts and our Lead Captain Server will take over as the remainder of the night would simply be your fun party time Smiley winking The Banquet Manager is always on staff until departure time too if anything is needed!

What the outside day of coordinator said she would handle:
- Coordinate and be the liaison with vendors on the day of your wedding- Ensure all vendors arrive on time and are set up and ready to go
- Help with setting up any personal décor and/or overview of the wedding venue to make sure everything is in order and in their correct spots
- Handle any day of problems that may arise
- Orchestrate processional; Ensure everyone is ready to walk down the aisle and make sure processional is well timed and executed perfectly (I will also be with you right before you walk down the aisle to assist with any last minute details)
- Help orchestrate pictures with your photographer, to make sure you get all the shots you want with family and as a couple
- Help orchestrate reception entrance with bridal party

    It sounds like they basically would take care of the same thing, the first one just states it simply and the other with more flourish. I'd double check with the first and see what each of those entail to be sure and you can ask about the things that weren't mentioned like the photographer, the reception entrance, etc but from the descriptions you provided if they are very similar I think the one the venue provides would be sufficient.

    These are completely separate roles that do not perform the same function. Every venue has their own coordinator but they require you to hire an outside coordinator in addition to make the day run smoothly for you and your guests.


    A venue coordinator only cares about the venue and if you are complying with their policies so that you do not get fined. For example, making sure no one arrives before scheduled time, cleanup and curfew on time, venue property is not damaged or defaced.
    A day/month of coordinator works with you tk make sure all your vendors are on the same page. They do decorating, they work behind the scenes to keep you calm.

    That must just depend on the venue then. Our original venue before we had to postpone and move closer to home had a venue coordinator and she was helping us take care of basically everything from start to finish. She went with us to select the linens, the china, the types of tables that we wanted, arranging shuttle service from ceremony location to reception venue, coordinating with the caterers and doing the taste testing, working out day of timeline, etc. There were very few details that she wouldn't handle and they weren't needed for our initial wedding plans so we weren't worried about them.

    Our venue doesn't actually require us to hire one, they told us they do all of the above but we can get one if we want to - they're fine either way. That's why I was wondering if we should. Smiley smile

    Oh wow, that's great! I think our venue coordinator does a lot but def less than yours. She has helped us with anything related to the venue, but not our outside things so far.

    If they do indeed offer the same services outlined above and nothing more from either party I would not hire the outside vendor to do it when that's expense you could put somewhere else. Not really a point in paying for something you already have if they both cover the same services.

    Ah gotcha. I guess it just depends then on how much more assistance you feel like you'll need with the planning then whether or not you bring in the day of coordinator.

    My venue requires a day of coordinator at the very least, but they don't have one on site for us to use. I would prefer to use the onsite person if they had one because they know how everything should run at the venue. But if you have already been talking to someone and you really like that person. I'd go with your gut feeling and use that person you like.

    We're going to have the venue coordinator no matter what (and she's great, so that's awesome) but I'm wondering if we should add our own day of coordinator too.
