Wedding planners

For those of you who booked a wedding coordinator, what did they end up doing for you? I’m considering one but not quite sure what they can and cannot do, or what their responsibilities are

I looked into one briefly, specifically a day of coordinator. It wasn’t worth it to me because my mature’ fat my venue would be doing the same thing. They in theory would be at the venue setting up decor and making sure everything is on schedule. That’s all set for me already. I’ll meet with my venue before and drop off decor and let them know where it all goes.

I looked into one just for the purpose of help with setup and tear down, though currently have decided against it, since I don't think it's worth the cost if I'll only use them for setup and tear down. From what I've heard though, the day of coordinator will typically help with setup, making sure everything runs smoothly, resolving issues, coordinating vendors, making sure everyone/everything is in place, helping with keeping everything running on time, etc. Some of them stay throughout the whole evening and also help with tear down, others leave after the formal reception events are over.

We still haven't decided we have a venue manager which will help with set up but that is only one person. I think we will get a day of coordinator to help us with vendors and just to put as ease that everything is placed exactly how we asked. Also day of coordinator helps with the flow of weddings letting dj know when to make announcements etc. It's is a tough decision because they can be expensive.

Ours secured all of our rentals, she was the point of contact for all of our vendors on the wedding day and leading up to it, her and her team did all of our set up on the wedding day, and they also did all of the break down/clean up. Having a wedding planner and DOC is worth every penny! It is a lot less stressful when there is someone there to help take care of stuff for you.

I personally would suggest looking at venues first and seeing what the venues offer. Some venues offer wedding planners built in with their package as well as day of coordinators.
The wedding planner will basically call and organize all of your meetings with your various different vendors, give you specific timelines to make decisions etc.

Venue coordinators are not the same as a day of coordinator. They only focus on making sure venue policies are followed.

I have been to many weddings where a coordinator would have been amazing but the task got passed to guests who didn't know what was going on and couldn't enjoy the reception because of it.

We will be hiring a day/month of coordinator to tie up loose ends and make sure the day runs smoothly behind the scenes. They are the ones who keep vendors on the same page. You don't have to worry about that despite what others say when choosing your own vendors instead of an all inclusive. They also do setup/teardown and most have a team so it's not just one person. We don't need them to locate and secure vendors even though they do offer it.

We hired a day of coordinator. She helped with the ceremony rehearsal run through, she set up all our ceremony and reception decoration the morning of, she made sure the ceremony went as we had rehearsed, and then throughout the day she was the point of contact for all vendors. She told us when everyone was ready for first dance, for the cake cutting etc. She also packed up all the decorations at the end of the night and brought it in our hotel room.
I will say that from my research every coordinator can have different responsibilities they’re ok taking on. Your best bet would be to research vendors and check their website or call them to ask what they would do.

    They contact and price vendors
    Review contracts
Help develop style and/or themesDevelopment of timeline and checklistsManage rentalsEstablish and manage the budgetCoordinate rehearsal and dinner and wedding ceremony executionMake sure all the vendors arrive on time and that the reception is seamlessThey do limited decor and pack up of everything at the end of the night
There’s a ton more things that most planners do but this is just the basics

2000% worth every penny especially if you tend to be someone who struggles with anxiety. They take a good portion of the stress off your plate.

We decided to hire a day of coordinator and add on consultation services. She will be there to make sure that everything runs smoothly on the day of. Her team will also be available for me to have monthly meetings to discuss where we are with planning. I'm less stressed already and we just hired her on Saturday.

We hired a day of coordinator. We just had our details meeting which was 4 hours long very extensive but I enjoyed it. I’m getting married in 28 days but I have no regrets hiring her. I have peace of mind knowing that every aspect on my wedding day is taken care of. She’ll be there for setup, breakdown, making sure we stay on schedule, dealing with complications should they arise, bringing in all non vendor accessories like the favors guest book and cake and knife set and escort cards. She’s also making our itineraries for the bride and groom, the bridal and groom party, and for the vendors. She’s the day of contact for every vendor. It was more pricey than my liking however I am confident it was the right choice we are having a large wedding and wedding party and have a very restricted time limit to get ready so no one will have time to spare to assist in anything. I also wanted everyone to be able to relax and enjoy each other’s company and to be present in the moment instead of having to get pulled away for whatever reason Smiley smile
