Wedding Reception Venue - No Inventory

My reception venue provides tables and chairs, but can’t give me a comprehensive inventory of what they have. They just tell me they have 54” round tables and 6’ rectangular tables and enough chivari and captain chairs for 125 people. Is this normal? I feel as though this is something they should have and I should know so when I do seating charts (which they require for plated dinner service), then I can configure the venue properly. I would hate to assume they have 18 round tables and then they don’t…

    I do find it strange they cannot tell you how many tables they have. Perhaps the venue doesn’t own these tables, but rather rents them from a third-party? Or maybe they do not keep them on the property-perhaps they are in a storage unit somewhere? Either way, I would reach out to them and let them know that you must have a definitive count of the amount of round and rectangle tables they provide in order for you to create and print your seating chart.

    So, that won’t be for a while, but the main thing I’m worried about is that if I do end up having to rent a extra tables and chairs that if may be too late like Rental companies are booked. But to be honest, I’m not sure if those book out in advance or not. When is the absolute latest time I should rent tables, chairs, and linens?

    I didn’t mean that you were actually going to create and print your seating chart…. Just to use that as an excuse to the venue so that they would give you an accurate table count. Or you could use the excuse of needing the table count so that you can purchase/rent tablecloths - that was the issue I was having with my venue when they were not giving me specific information about tables either. As soon as I told the venue coordinator that I absolutely had to have the count and measurements of the tables they provide in order to purchase table cloths, they got right back to me. I’m not sure how far out you would need to rent tables. I’m sure it depends a lot on your area and how many rental companies are available. It seems that anything wedding rental related though is booking up way faster and further in advance than usual because of all the pandemic wedding reschedules. I would definitely reach out to the rental companies and see how far out they are booking.

    I think 3-6 months would be adequate if you need to rent more tables. If you’re getting married during the “high” season then inquire much sooner. Our venue has a contract with a third party vendor for linens and chairs, so ask yours if they are working with one. And if you need more, can this be accommodated.

    Do you have a month of coordinator? If so, ask if they can step in as a liaison to get the information if the venue refuses to provide it. I can imagine why they are keeping the inventory secret.

    No, just a DOC. She may liaison, but it’ll probably be extra. Which seems ridiculous to pay someone else just to get info I need…
