What info do I give to the Day of Coordinator?

My "coordinator" is a close friend and I was planning on putting together a book of all the info she may need for the big day. Any advice on what all she will need? I am at a loss after contracts and contact info

    Any and all lists. She'll be the person fielding all questions for any vendor, so basically any list you've given to a vendor should go to her as well so she has a back-up copy.

    Day of Schedule/Time Line

    "Must Have"/ "Don't Play" Songs for DJ

    Sketchy guests to keep an eye on/ VIP guests that may need assistance

    List of must-get shots for the photographer

    Will she be distributing final payments?

    Spare keys to the car that will be transporting the gifts home so she can move the gifts out of the venue before the end of the evening.

    Location and time of rehearsal

    Timeline for day of

    Addresses/directions to locations (and times to be there)

    - hair dresser

    - location where getting dressed

    - ceremony

    - reception

    - Park (if you want her coming with for pictures)

    Photo example of church decoration set up

    Expectations - to do list - if she is to go to the hall while you are taking pictures

    - Photo example of your centerpiece set up

    - photo example of your gift table set up

    - photo example of your cake table set up

    - photo example of your memorial table/items

    - photo example of candy buffet

    Copies incase someone forgets to bring....

    Copy of your vows

    copy of your reads

    Copy of your playlist

    Copy of your Don't play list

    See if she will put together a Bridal emergency kit (give her some $ - or make her responsible to carry it

    Cell phone numbers for everyone -- including you!

    Will she be setting up the decor at the ceremony and/or reception site? Give her a drawing of how everything should be laid out. Will she be picking up & returning linens or decor or other rental items?

    Give her cash for any unexpected emergencies that may arise -- dead batteries, broken vases that need to be replaced immediately, etc.

    Order and names of the line up of the wedding party

    (for the church and for the intro to the reception hall)

    *and pronunciation - you'll want to be able to give the MC a list where they can pronounce the names correctly

    expectations for clean up

    - where the box for the topper is so she can talk to the hall about getting it safe after the cake is cut

    - box for the cake knife

    - keys for vehicle to pack gifts

    - Highly suggest she locks up the money box before dinner - right before the line up or right as dinner is starting

    - location of tubs and what she is supposed to pack up at the end of the night

    Copies of the contracts for all of your vendors with delivery and pick up times so she can make sure you are getting what you pay for and so that she knows when it should be there. Make sure she counts and itemizes everything, before the vendor leaves.

    Make sure she has all contact information for all vendors, wedding party members and close family members. For the wedding party members and close family members, add a section for allergies and other medical conditions that someone may need to know in a hurry.

    Send a quick, informative email out to all of your vendors giving them a heads up that she is your go to person, with her contact information.

    If you have any vendors to pay day of, make sure their payment is in a sealed envelope with your initals written over the flap in the back. When they pick them up from her, have her write a receipt on the envelope and have the vendor sign it stating that they received $$$ on date.
