What size tent should i use?

I’ve been contacting tent suppliers and a lotttt of them are quoting me for this big extravagant tent and everyone I’ve spoke to said that they quote you for a lot larger than you actually need. We are having about 200-250 people at the reception. We need room for dinner tables, head table, DJ and gift table. We also wont always have everyone under the tent at the same time as we will have games and activities outside (weather permitted) We are also thinking of putting the food in a small tent aside from the large one.. how big should I get?? I was thinking 40x60 would be perfect but I honestly don’t know what to even expect lol

    You can google tent layouts for the size you want but I quickly glanced at a few different layouts and it looks like a 40x60 would only fit about 150-170 with needing space for a DJ, head table, and gifts table.

    40x60 will be W A Y TOO S M A LL!!

    i REALLY can’t stress that ENOUGH. We could only fit a 40x60 tent in our space , so we concluded that that meant the ABSOLUTE max we could invite was 150, to seat everyone for dinner, have dj & dance floor, and room for buffet tables. Even at that number, I was so pleased when I had enough declines to remove a table. We had no more than 125 ultimately — 14 tables, plus a sweatheart table. 16x16 dance floor , DJ table and 2 buffet set ups on either side — 40x60 was a really nice size for our party, but I don’t feel like we had a lot of “extra” space , AND our bar wasn’t in the tent. So, I definitely wouldn’t try to fit any more than 150 in a 40x60, and additionally, dont at all feel like tent companies were trying to screw me— though I did speak with a few, and did a lot of research online looking at potential layouts—so I recommend a bit of googling to look at layouts to get a better idea of what the space would actually look like. I found the online space calculators to be fairly accurate

    One tent guy I spoke to said that every 60” table requires about 10x10 feet of space. The above linked tent size calculator was really helpful to me.

    Despite your comment, for reference- here are pics of our layout and set up and space once people were in it. We *couldve* squeezed in at least another table but the squeeze was undesirable.

    We SUPER lucked out with weather , so never needed to be confined (if the weather had been bad, we would’ve included a second tent technically for cocktail hour, but realistically for breathing room altogether). So, people did get to roam and spread and hang, but still everyone came together for dinner and big moments and it was important to have a tent that could fit all at once.

    ** ultimately our tent was 44x63 as we went sailcloth so rounded instead of square edges but we were told that usable square footage was essentially the same as in a 40x60.
